Build W-2 Forms

The Build W-2 Forms screen clears the W-2 file and calculates W-2 information based on the payroll earnings history file.

This screen allows two localities to be included on each form by leaving the Write 1 state & locality per W-2 checkbox clear. The W-2 Build Form summarizes all state, county, and local reporting totals on the W-2 form.

Affordable Care Act information: The Build W-2 Forms update calculates the Affordable Care Act coverage amount, specifically code 'DD' in Box 12 by combining the total deductions and total add-on amounts. All other calculations continue to 'net' deductions and add-ons during the Build Update.

Each time you perform this update, the previous W-2 for each employee is retained. This allows you to restore a W-2 if you discover later that a needed W-2 record has been lost due to re-running the update after purging.

The system displays an asterisk ( * ) in boxes 10, 12 and 14 if there is additional detail in the window.

Note: Prevent employees from printing their W-2 Forms from their Dashboard app (if installed) until the Payroll Department completes its review of the current year's forms. Make sure the Allow employees to print year end tax statements? checkbox is not selected in the Employee Kiosk Installation.
