About Attaching Documents to Data Records
You can attach documents to data records using the Attachment form, DM Attachment Index Search, DM Transaction Attachments, or by dragging and dropping a document (including MS Outlook emails) directly onto a form.
Typically when you bring documents into the system, you will want to attach them to relevant data records. For example, you might attach an original invoice to the corresponding Accounts Payable transaction record.
When you attach documents, there are several things to keep in mind.
If you are using the File System option for document storage (DM Attachment Options), files being attached should be stored on a network directory where all users can access the file. If you attach a file that resides only on a single PC, other users may not be able to view the document if they do not have access to the directory where the file is stored.
If you are using the Database option for document storage (DM Attachment Options), when documents are added, they are copied from their original location to the current database. This allows you to attach files from any location and have them be accessible to all users.
When you attempt to view a document, you must have the appropriate viewer for the document installed on your PC. For example, if someone has attached an MS Word document, you must have Word installed to view it.
The attachment feature is not an imaging system. It is designed to attach all types of documents, not just scanned images. It can be used in conjunction with an imaging system, however. The imaging system is used to scan documents and save those documents to a network directory. The scanned document is then linked with the appropriate data in the Vista software.
