Adjust a Contract Invoice and Route It for Approval

Modified: 7 Sep 2026 ProContractor Billings Help

Adjust a contract invoice to make a change to a contract invoice that has already been posted and select internal users who should approve and review the invoice.

Reviewers should use the steps outlined in the Review and Approve a Contract Invoice topic to approve an invoice. The invoice is approved when all document routing distributions are set to a status type that sets the distribution to a status of inactive. Once the invoice has been approved by the reviewers, you can post the invoice.
  1. If you haven't already done so, on the Document Management Settings screen, set up your document management defaults.
Note: You can only use document routing if you have selected the Document Routing Distribution Control checkbox on the Document Management Settings screen.
  2. If you haven't already done so, set up your document routing distribution groups.
  3. Enter the details of the adjusted contract invoice and assign it to a posting group.
  4. Select the users and/or the document routing distribution group that will review the adjusted contract invoice.
  5. Create the PDF file for the adjusted invoice, and save the invoice as a draft.
  6. If needed, contact the reviewers to advise them to review the adjusted contract invoice.
  7. Periodically view the status of the document routing for the adjusted contract invoice to monitor the review process.
  8. Modify the details of the adjusted contract invoice if needed.
  9. Once the adjusted invoice is approved, review the contract invoices in the posting group.
  10. Create the PDF file for the adjusted contract invoice; view, print, or e-mail the invoice; and save the invoice as ready to post.
  11. Post the adjusted contract invoices in the posting group.
Note: Once you post an adjusted contract invoice, you can no longer modify it. If you need to make any changes after posting, create another adjusted contract invoice.
