Accounts Payable – Vendors (U.S.)

Modified: 7 Sep 2026 ProContractor Year-End Help

Complete the U.S. accounts payable activities listed below.

Year-End Preparation

Note: Aatrix may be required
ProContractor captures data for but does not print these 1099 forms:
  • 1099-NEC
  • 1099-MISC
If you need to print and/or process these forms, Aatrix is required.
  • Review Vendor Setup:

Go to Vendors > Setup > View Vendor Setups (Vendors view). You can review addresses and vendor compensation reporting information for all vendors. You can customize this view and save it for use next year. If you need to modify a vendor, double-click on the vendor in the view to open the Vendor screen for that vendor.

  • Review Vendor Information on Forms 1099:

Go to Vendors > Year End > Edit Vendor Compensation Forms. You can review the accuracy of the information on your Forms 1099 and modify the information as needed. If you modify vendor information on this screen, ProContractor uses the new values on any tax forms for the active tax year. However, the changes aren't saved in the vendor record. If you need to make any changes permanent, you must also modify the Vendor screen.

  • Print the Vendor Compensation Report:

Print this report to view the list of vendors with reportable payments for the year. Go to Vendors > Reports > Vendor Compensation Report.

At Year-End

  • Print Forms 1099 Summary Report:

Use this report to help you determine how many Forms 1099-MISC and 1099-INT that you need. Go to Vendors > Year End > Print Forms 1099 Summary Report. For more information, see Print Forms 1099 Summary Report screen (U.S.).

  • Order Your Forms 1099:
For details, visit www.viewpointforms.com or call (800) 825-8649.
Note: To determine whether to order pre-printed or blank forms, refer to the Viewpoint Forms section of the Year-End Checklist (U.S.) for details.
  • Print Vendor Payment History:

This report shows payment amounts. Go to Vendors > Reports > Vendor Payment History. For more information, see Vendor Payment History screen.

  • Review and Revise Forms 1099:

Go to Vendors > Year End > Edit Vendor Compensation Forms to revise your forms as required.

Tip: Viewpoint recommends that you verify the accuracy of the information on your forms and make changes, as needed, before printing or saving them. There are several reasons you might want to modify this information:
    • You don't have complete transaction data entered for the tax year (for example, because it is your first year using ProContractor and you didn't load your initial balances).
    • You haven't properly set up all of the required vendor information in ProContractor.
  • Print Final Forms 1099-NEC:
    1. Select Vendors > Year End > Print Forms 1099-NEC.
    2. Print final forms using Aatrix, or select an e-filing option.
  • Print Final Forms 1099-MISC:
    1. Select Vendors > Year End > Print Forms 1099-MISC.
    2. Print final forms in ProContractor, or select an e-filing option.
  • Print Final Forms 1099-INT:
    1. Select Vendors > Year End > Print Forms 1099-INT.
    2. Print final forms in ProContractor, or select an e-filing option.
  • Submit Final Forms 1099 electronically (if required):

If you are required to submit Forms 1099 electronically, enroll in an e-filing service. Refer to the Paper and Electronic Filing Options section of the Year-End Checklist (U.S.) for details.

    • If you are using Aatrix, select Vendors > Year End > Aatrix Report Filing > Federal, and then select the appropriate 1099 form.
    • If you use Greenshades, go to Vendors > Year End > Greenshades Electronic Filing.

Complete Form 1096

  • Reprint Forms 1099 Summary Report:

Re-run the report to confirm how many Forms 1099-MISC and 1099-INT that you need, now that you're finished making edits. Go to Vendors > Year End > Print Forms 1099 Summary Report.

  • Use the information from the Forms 1099 Summary Report to manually complete your Form 1096.

Current Year Profit/Loss – Financials

Because there is no hard close in ProContractor at the end of the fiscal year, the Retained Earnings balance is not updated automatically. At the end of the year, you must move the Current Year Profit (Loss) amount to the retained earnings account. The balance for the fiscal year profit or loss is maintained in an equity account that is typically named Current Year Profit (Loss).
  • To close out the net profit or loss for a fiscal year to Retained Earnings, check the balance of the Current Year Profit (Loss) account after all adjusting entries have been made.
  • Create a journal entry (dated the first day of the new fiscal year):
    • Go to Financial > Journal > Create Journal Entry.
    • If a net profit is realized for the fiscal year, create a journal entry that will debit the Current Year Profit (Loss) account and credit the Retained Earnings account.
    • If a net loss is realized for the fiscal year, create a journal entry that will credit the Current Year Profit (Loss) account and debit the Retained Earnings account.
