Set Up Personal Clock-Ins

Modified: 5 Oct 2026 Traqspera Time Entry Help

Follow these steps to configure employees to record their own clock-ins.

All employees must be able to access either Traqspera in a web browser or the Traqspera Timesheet app for Android or iOS to use this time entry method.
For instructions on editing user roles, see Edit a User Role.
  1. Configure these permissions for each role that needs to clock in and out.
    • On Settings & Permissions > Permissions > Timesheet > Labor Entries on Timesheets, enable View
    • Enable Settings & Permissions > Permissions > Timesheet > Can Use Employee Timesheets
    • Enable Settings & Permissions > Permissions > Timesheet > Can Change Default Job On Clocking
    • Enable Settings & Permissions > Permissions > Timesheet > View Timesheets Created By Others
Note: Enabling this is optional. It allows employees to see their timesheet if someone else adds it for them or a time off request is approved for them.
    • Enable Settings & Permissions > Permissions > Timesheet > Can Clock In/Out (if using the Traqspera Timesheets mobile app)
    • Enable Settings & Permissions > Permissions > Timesheet > Can Clock In/Out On Web (if using Traqspera web)
  2. If your company allows employees to edit labor entries, configure these additional permissions for each role that needs to edit labor entries.
This method is useful if the employee needs to enter items after they have clocked out.
Note: Employees should only edit their timesheet at the end of the day once they have clocked out.
    • On Settings & Permissions > Permissions > Timesheet > Timesheets, enable Edit
    • On Settings & Permissions > Permissions > Timesheet > Labor Entries on Timesheets, enable Edit
    • Enable Settings & Permissions > Permissions > Timesheet > Lock Hours on Timesheets
    • Enable Settings & Permissions > Permissions > Timesheet > View Start/End Times
  3. If your company uses equipment operator entries, choose this additional permissions for each role that needs to enter time.
    • If your company enters equipment separate from labor, navigate to Settings & Permission > Permissions > Equipment > Equipment Entries on Timesheets and enable View.
    • If your company uses inline equipment entries, enable Settings & Permissions > Permissions > Timesheet > Can Use Equipment Operator Entries.
  4. If your company uses automatic rollover, configure these additional permissions for each role that needs to enter time.
    • Disable Settings & Permissions > Permissions > Timesheet > Can Override Hour Rules
    • Enable Settings & Permissions > Permissions > Timesheet > Can Use Overtime
    • Enable Settings & Permissions > Permissions > Timesheet > Can Use Double Time
  5. If you want to enable the capture of GPS data for employee timeclocks, follow these steps.
Note: This configuration is not recommended if your company allows employees to edit timesheets, because employee edits will override their original location data with their current location data.
    1. For each role that needs to enter time, enable the permission Settings & Permissions > Permissions > Timesheet > Require Clock In/Out Location.
    2. Navigate to Settings & Permissions > Settings > Timesheet > Clocking > Allowable Distance from Job Site and enter in the Value field the allowable distance in feet from all job sites when clocking in and out.
Note: For instructions on how to configure allowable distance per job, see Change Allowable Distance for GPS Clocking Per Job.
Employee latitude and longitude is recorded on timesheets. If an employee time entry is logged too far away from the job site, it is flagged for review during approvals.
  6. If your company uses employee crew clocking, navigate to Settings & Permissions > Settings > Timesheet > Clocking and enable the Use Crew Selection setting.
    Note:
    • Employees must be a member of at least one crew in order to select that crew when clocking in.
    • If an employee is only assigned to one crew, their clock-in screen defaults to that crew.
    • Field clocking users will not be able to enter equipment or expenses into the crew.
Employees of the selected roles can now punch time on their personal devices and choose the job/phase they would like to allocate time towards. For instructions, see Clock In / Clock Out.
