Schedule a License Count Reduction

If you purchased licenses from shop.trimble.com that you no longer need, you can reduce your license count, timed with your next renewal date.

Important: This page applies only to subscriptions purchased on shop.trimble.com. For subscriptions purchased via a sales rep, please contact your sales rep to adjust your license count.
Timed with your next renewal, you can reduce the number of licenses on your subscription without turning off the whole subscription.

To reduce your license count at your next renewal date:

  1. In the left pane, select Products & Licenses.
  2. In the table, select a subscription.
  3. Select Manage subscription and then select the Manage dropdown.
  4. Select Remove licenses.
  5. Enter the number of license you want to remove.
  6. If prompted, select whose licenses are to be removed.
    Upon renewal, the selected licenses will be removed.
    Note: If you do not specify which user licenses to remove, the system will randomly select users who are assigned licenses.
  7. Select Confirm changes.
Your changes will automatically take effect on the subscription renewal date.
At any time before your renewal date, you can adjust the number of licenses that will be removed.

Adjust Number of Licenses to Remove

If you scheduled a reduction to your license count but your renewal date has not yet arrived, you can adjust the number of licenses that will be removed at renewal.

This page applies only if you've already taken the steps to schedule a reduction in your license count.
Until your renewal date, the licenses that are not to be renewed are still active. At any time until then, you can adjust the number of licenses to remove. If your renewal date has passed, any scheduled changes will have taken effect already.

To adjust the number of licenses that will be removed at your next renewal date:

  1. In the left pane, select Products & Licenses.
  2. In the table, select a subscription.
  3. Select Manage subscription and then select the Manage dropdown.
  4. For the given subscription, select Scheduled changes.
  5. Select Review licenses.
  6. Adjust the number of license you want to remove.
  7. If prompted, select whose licenses are to be removed at renewal.
    Upon renewal, the selected licenses will be removed.
    Note: If you do not specify which user licenses to remove, the system will randomly select users who are assigned licenses.
  8. Select Confirm changes.
Your scheduled changes are updated and will take effect on the subscription renewal date.

License Removal Prioritization

The Admin Console helps you manage license reductions during renewals, using automatic fallback logic and a defined priority order to reclaim them.

When an upcoming renewal requires a lower license count, the Admin Console automatically manages the reduction process to ensure minimal disruption to your organization's active workflows.

Minimizing Workflow Disruption

To protect active users, the system allows you to manually designate specific individuals for license removal. Because the system prioritizes protecting active accounts, it automatically applies a standardized fallback logic to fill any gaps between the number of users you select and the total reduction required to meet your new target.

License Removal Order of Priority

The system automatically fulfills your license reduction by reclaiming licenses in the following defined order:
  1. Unassigned licenses: Licenses that are not currently assigned to any user.
  2. Pending Trimble IDs: Licenses assigned to individuals who have been invited but have not yet created their accounts.
  3. Manually selected users: Licenses held by the specific users you explicitly chose for unassignment.
  4. Random selection: If additional reductions are still required to meet your new total, the system selects remaining active users at random.

Tracking Your Reductions

When a license reduction is scheduled, the Admin Console dynamically calculates how many licenses need to be vacated. The system tracks your manual selections in real time and prompts you once you have designated enough users to satisfy the upcoming reduction target.

You can verify which users are scheduled for removal by reviewing the Notes column within the Assigned licenses table, located on your subscription's main page.
