Export a Retainage Invoice to Spectrum

Use the same steps to export an approved retainage invoice from Trimble Pay to your Spectrum application as for a other invoices.

To export retainage invoices, you must have the export retainage invoices integration setting enabled AND these statements about the retainage invoice must be true:
  • It's part of a subcontract that was imported from your Spectrum application.
  • It's approved by all approvers in Trimble Pay.
  • Its invoice number doesn't match that of any Spectrum invoice for the same vendor.
Tip: If you encounter an error related to an invoice number already in use for the vendor, see Edit an Invoice Number.
Regardless of the import method, allow up to 15 minutes for the approved AP Invoice to appear in your Spectrum application.
To export a retainage invoice, first release retainage and then export the retainage invoice following the same manual steps as for other invoices.
  1. Release Retainage on the subcontract.
  2. Follow the steps in Export Invoices and Attachments to Spectrum.
Spectrum creates a $0 invoice as record for the retainage invoice, with the supporting documents attached as Invoice Images.
Note: Although the retainage invoice and invoice documents will export to Spectrum, retainage must still be manually released.
In Spectrum, release retainage.
