What's New lists the enhancements and changes available in the Trimble Pay 5.9 release. This release is available in July 2026.
Visual and accessibility updates
We've updated Trimble Pay with a new look and layout to give you a more consistent experience across all Trimble products:
The Trimble Assistant moved: The AI Assistant icon now lives in the top header for easier access from any page. Hover to see the tooltip, and select to open or close it.

Redesigned profile menu: Your profile icon now displays your company name and user details at a glance, with quick links to Manage my Trimble ID, Account Settings, and Logout.
Compliance notes for uploaded documents
When multiple compliance documents are uploaded under the same requirement, it can be difficult to tell them apart — especially during review. You can now add Notes to compliance uploads to provide context and differentiate documents at a glance.

For subcontractors, when uploading compliance documents, a new optional Notes field (up to 100 characters) lets you describe the file you're submitting. Leave it blank or add a short label — either way, your upload works just as before.

For general contractor reviewers, notes added by subcontractors now appear alongside each uploaded document in the expanded compliance review (for both current and historical uploads). Authorized reviewers can also edit notes on any upload to keep records accurate and organized. Edits apply only to the specific document, so updating one note never affects another.

This enhancement is available on both vendor-level and project-level compliance pages and respects existing role-based permissions for who can view and edit compliance data.
Pay app documents now render and download as PDFs
All Excel-based documents on the Review and Submit Documents tab — including pay applications, unconditional waivers, and any other .xlsx files — are now automatically converted to PDF. This ensures documents can't be accidentally or intentionally altered before signing or notarization. What you review is exactly what gets signed. As a bonus, documents also load significantly faster thanks to our new built-in viewer.
Enhanced security for payment actions
We've strengthened the security of your most sensitive payment functions in Trimble Pay. Key actions, including managing bank accounts, approving sub bank accounts, and issuing ACH payments, now require a verified secondary authentication method before you can proceed.

What's changed: If you're logged in with only a one-time passcode (OTP), you'll now see a prompt guiding you to set up a stronger authentication method before performing these actions. Accepted methods include an authenticator app, a secondary email, a passkey, or federated login.

Why it matters: This added layer of protection helps prevent unauthorized access to critical payment functions, keeping your accounts and transactions safe — even if your primary email credentials are compromised.

What you need to do: If you haven't already, set up one of the supported secondary authentication methods in your Trimble ID account settings. Once configured, you'll be able to perform all payment actions seamlessly. For information on setting up a secondary authentication method, see Set Up Your Trimble ID MFA Methods.
Payment Onboarding Status Notifications
General contractors are now automatically notified by email when their payment onboarding review is complete. Company admins and accountants will receive a confirmation email once their account is approved and ready to send payments, or a notification email if further action is needed. This keeps your team informed throughout the onboarding process so you can start using Trimble Pay as soon as you're cleared — no need to keep checking back manually.

Override approval: After an override has been approved, the Approve and Decline buttons in the Override Approvers screen are now correctly hidden, eliminating the need to refresh the page or log in again.

Payments to Vista: ACH payments with multiple retainage invoices on the same contract in the App Xchange flow now send the correct AP Trans / AP Line / AP Seq values for each transaction, ensuring all retainage payments are properly applied in Vista.

Billing document uploads: Billing requirement descriptions now support up to 120 characters, eliminating errors that could occur during document uploads when descriptions were too long.

Report generation: In Reports, when a user selects the Generate export button, a pop-up message displays when no documents match the user's selected filters.

General contractor invitations: The contract details page now correctly refreshes after sending an invite to a subcontractor, ensuring the latest status is immediately visible without requiring a manual reload.

Vendor invitations: Inviting a vendor who already has a Trimble Pay account to a contract now works as expected. Previously, selecting Invite to contract for these vendors had no effect.
