Set up multiple managed Trimble ID users at once using the
provided template to bulk import user data.
You must be a System Admin to complete these steps.
Before you can assign
managed users in the portal, you must set them up in Vista as PR Employees. For
details, see Configure Trimble ID Managed User Logins.Admins can create a managed
user for any portal user who does not have a
Viewpoint VP User Name
and is not already associated with a
VA User or
native Trimble ID
account.
Tip: Bulk importing managed users can be helpful
when you are moving from a test company to a live company, or when first setting
up Trimble ID.

In Vista Web, go to .
- In order to bulk import managed users, you need to
download the template. Select the More options icon
and choose Download Managed Users Import
Template. - In the Download Managed Users Import Template window, choose an option:
- Template Only: Select to
download a blank template .CSV file. This allows you to manually enter user
data.
- Include Active Employees:
Select to download a pre-filled template with the company and employee
numbers of all active PR employees who do not have a managed or
native Trimble ID or a Vista VA User Profile.
- Include All Employees:
Select to download a pre-filled template with the company and employee
numbers of all active and inactive PR employees who do not have a
managed or native Trimble ID or a Vista VA User Profile.
- Select Download.
The template .CSV file downloads to your device.

Open the template file. Depending on the template
you selected, do one of the following:
- If you chose Template Only to download
a blank template, for all of the managed users you want to create, enter
their PR Co,
Employee #,
Proposed Managed User
Name, and, Temporary Password
without the short code prefix. Save the
file with your updates.
Managed
usernames must be between 3 and 50 characters and can contain only
letters, numbers, hyphens, or underscores.
Passwords
must contain a mix of uppercase letters, lowercase letters, and digits.
Special characters are not allowed.
Note: If
you leave Temporary
Password field blank, the system will automatically
generate a random temporary password for the user.
- If you chose Include Active Employees
or Include All
Employees to download a pre-filled template, review the
information and proposed usernames. Make any updates as needed, and save the file.
Note: To auto-generate managed user names in a
specific pattern for all of your users, admins can choose a username pattern in
the portal setting TID Managed Users Auto-Naming Pattern.
The User Name will auto-populate based on the pattern
selected in the setting.
- Back on the User Access page, select the
More
option and choose Import Managed
Users. - Select the file with your saved user information.
The portal checks the data in the file to make sure you
have used valid characters, entered unique usernames, and filled every
field. If any issues are found that prevent the import process from running,
you will see an error message. Review the error message to resolve the
problem, then upload the template again.
If these initial checks pass, the import processes in the
background. After completion, a notification indicates success or success with errors.
- If the import completes successfully with no
errors, the managed users are added to the portal, temporary
passwords are automatically created for each user, and users receive
their login credentials via email or text.
- If the import has errors, a warning message
displays. Select the notification bell icon and select the
Managed Users Bulk Add warning. This
downloads another version of the template file that lists error
messages next to each entry with an issue.
- As needed, fix the issues described in the error
messages. Import the template file again.
Error messages may indicate that a managed username is
already in use, a user already has a native Trimble ID, or a user is
associated with a VA User.
If contact information is missing, the user will not
receive their login credentials. In this case, Admins must share the username and
temporary password with the user. The temporary password is
listed in the error message.
