Update Work In Progress Screen Field Reference

Selected Projects tab

Use the Selected Projects tab to select the project for which you want to enter work in progress. Each row in the grid is a project that has the Include in Update Work In Progress Entry and Reports field in the Project Classification screen must be set to Yes. Select the Select checkbox to select a project for work in progress entry. You can select multiple projects to update at one time. Most of the fields are display only. Some fields are hidden by default. Use the field chooser to show and hide fields in the grid.

Note: The Selected Projects tab does not display projects with unposted transactions if the projects or cost codes on the projects have Calculate Budget By set to Pending and Posted Cost.

Field

Description

Select

Select the checkbox to indicate that you want to enter work in progress for the project.

Project

Displays the project code. The Include in Update Work In Progress Entry and Reports field in the Project Classification screen must be set to Yes for a project to be displayed.

Project Name

Displays the name of the project.

Posting Type

Displays the posting type of the project.

Customer

Displays the code that identifies the customer for the project.

Customer Name

Displays the name of the customer for the project.

Status

Displays the status of the project.

Address

Displays the address of the project.

WIP Entry tab for Cost to Complete by Project

Use this tab to update work in progress information for projects that use control percent complete by project. Note that master projects may have their own budgets and costs, so you may need to update work in progress information at both the master project level and the subproject level. Subprojects are displayed under the master project. Click to the left of the master project to view and enter work in progress information for subprojects.

Field

Description

Percent Complete To Update

Enter percent of costs completed for the selected projects as of the posting date. Click Update to apply the percent complete to the selected cost codes and cost code cost types in the grid.

When you update the percent complete for the cost code, ProContractor updates the cost to complete, cost at completion, quantity completed on, and quantity completed to date using the new percent complete value.

Project grid - Each row in the grid is a project selected on the Select Projects tab.

Select

Select the checkbox to include the cost code or cost type when you update the percent complete using the Percent Complete To Update field. If you select this checkbox for a cost code that has cost types, the cost types are also selected.

Project

Displays the project code.

Project Name

Displays the name of the project.

Division

Displays the division code for the project.

Division Name

Displays the name of the division.

Budget Amount

Displays all budget amount for the project at the project level through the posting date. Project change order requests are only included if the budget has been entered and the budget effect date is prior to the posting date.

Posted Cost

Displays the posted costs for the project through the posting date. Cash basis records are not included in the posted cost.

Committed Cost

Displays the committed costs for the project through the posting date and includes purchase orders that have not been invoiced.

Pending Costs

Displays pending project costs through the posting date. Pending cost are all costs that have been entered but not posted.

Percent Spent

Displays the percent of costs spent based on the posted costs and estimated costs. For example, if the estimated cost is $100,000 and the posted cost is $30,000, then the percent spent is 30%.

Percent Complete

Displays the percent of costs completed for the project as of the posting date. The way in which the percent complete is calculated varies based on the percent complete basis selected in the Project Settings screen and the percent complete method selected for the project.

If needed, you can enter an updated percent complete. If you modify the percent complete, the cost to complete and the cost at completion are recalculated. The sub totals and job total are also recalculated.

If the cost to complete is greater than the estimated cost, the percent complete is set to zero.

Note: If the percent complete method is COST, HOURS, or UNITS, you can update the percent complete to 0 or 100 % only.

Cost to Complete

Displays the cost to complete for the project. The way in which the cost to complete is calculated varies based on the percent complete basis selected in the Project Settings screen and the percent complete method selected for the project.

If needed, you can enter an updated cost to complete. If you modify the cost to complete, the percent complete and the cost at completion are recalculated. The sub totals and job total are also recalculated.

Note: You cannot change the cost to complete if the percent complete method is COST, HOURS, or UNITS.

Cost at Completion

Displays the cost at completion for the project based on the cost to complete plus the posted cost. If needed, you can enter an updated cost at completion. If you modify the cost at completion, the percent complete and the cost to complete are recalculated. The sub totals and job total are also recalculated.

Note: You cannot change the cost at completion if the percent complete method is COST, HOURS, or UNITS.

Projected Cost

Enter the projected cost for the project. This field does not affect the percent complete.

Total Posted and Pending Costs

Displays the total of posted and pending costs for the project.

Total Posted, Pending, & Committed Costs

Displays the total of posted, pending, and committed costs for the project.

Percent Complete Method

Displays the percent complete method for the project.

Project Totals pane - Displays project totals for the project selected in the Project grid. The fields are read only. ProContractor updates the values as entries are made in the Project grid. Click to hide the Project Totals pane. Click to show the Project Totals pane. The bar graph shows estimated profit, current profit, and prior profit.

WIP Entry tab for Cost to Complete by Cost Code

Use this tab to update work in progress information for projects that use control percent complete by cost code.

Field

Description

Percent Complete To Update

When you update the percent complete for the cost code, ProContractor updates the cost to complete, cost at completion, quantity completed on, and quantity completed to date using the new percent complete value.

Cost Code grid - Each row in the grid is a cost code for a project selected on the Select Projects tab. If the Cost Code Percent Complete Method is set to COST TYPE, then a line is displayed for every cost type associated with a cost code.

Select

Select the checkbox to include the cost code or cost type when you update the percent complete using the Percent Complete To Update field. If you select this checkbox for a cost code that has cost types, the cost types are also selected.

Cost Code

Displays the cost code.

Cost Code Name

Displays the name of the cost code.

Cost Type

Displays the cost type associated with the cost code.

Cost Type Name

Displays the name of the cost type.

Budget Quantity

Displays the estimated units for the cost code / cost type level if the percent complete method UNITS is set at the cost code or cost type level.

Displays the estimated hours for the cost code / cost type level if the percent complete method HOURS is set at the cost code or cost type level.

Unit of Measure

Displays the unit of measure for the cost code / cost type level if either the UNITS or HOURS percent complete method is set at the cost code or cost type level.

Unit of Measure Name

Displays the name of the unit of measure.

Budget Amount

Quantity Completed on [date]

If the percent complete method is UNITS, enter the completed quantity for the cost code as of the posting date. The completed quantity to date is recalculated based on the quantity entered here.

Quantity Completed To Date

If the percent complete method is UNITS, displays the quantity completed for the cost code through the posting date. If needed, you can modify the quantity completed. The quantity complete on (posting date) is recalculated based on the quantity entered here.

Percent Spent

Displays the percent spent for the cost code through the posting date based on the posted cost and estimated cost. For example, if the estimated cost is $10,000 and the posted cost is $3,000, then the percent spent is 30%.

Projected Quantity

If the percent complete method is UNITS, enter the project quantity for the cost code. If you modify the projected quantity, the projected unit cost and projected cost are recalculated. This field does not affect the percent complete.

Projected Unit Cost

If the percent complete method is UNITS, enter the projected unit cost for the cost code. If you modify the projected unit cost, the projected quantity and projected cost are recalculated. This field does not affect the percent complete.

Projected Cost

Enter the projected cost for the cost code. If you modify the projected cost, the projected quantity and projected unit cost are recalculated. This field does not affect the percent complete.

Total Posted and Pending Costs

Displays the total of posted and pending costs for the cost code.

Total Posted, Pending, & Committed Costs

Displays the total of posted, pending, and committed costs for the cost code.

Percent Complete Method

Displays the percent complete method for the cost code.

Project (unlabeled)

Displays the project code and name for the project currently shown in the WIP Entry tab. Click to select another project to show in the tab. Only projects selected on the Select Projects tab are available in the drop-down. You can also toggle through the projects. Click Next to show the next project in the list or click Previous to show the previous project in the list.

Automatically Save When Changing Project

Select the checkbox to have ProContractor save the work in progress entries you have made for the current project when you select to display another project in the WIP Entry tab.
