Audit Licenses, Roles, and Permissions

Get a quick summary of license usage by license type across your enterprise.

Users with permission can also download a report that details the licenses and permissions assigned to each user.
  1. Select Settings > User Management.

    The User Management page opens showing a list of all users currently in the system and a summary of license usage by license type.

  2. At the top of the User Management page, you can review a summary of license counts by license type. License types shown will vary by enterprise.

    • The HR license count is broken down as follows:

      • HR: Number of employees who have been assigned an HR license.

      • PIN: Number of employees who have clocked in with a PIN on the web-based time clock, the Traqspera Timeclock application, or the mobile application in the last 30 days. These are users who have not explicitly been assigned an HR license, and access the system through a shared account.

        The PIN count does not include employees who enter a PIN to log their daily attestation.

        Note: The PIN count begins calculating as of the date your system is updated to version 2025 R9. It does not initially go back 30 days.
      • Total HR = [HR + PIN] / Total licenses available. For example:

        • As shown in the screenshot above, if the HR count is 29, the PIN count is 0, and you have 300 licenses available, your Total HR is 29 / 300.

        • If the HR count remains 29, the PIN count changes to 10, and you have the same 300 licenses available, your Total HR would be 39 / 200.

    • The Legacy license count shows the total available in the enterprise.

    • All other license counts are shown as a fraction with the number of licenses consumed over the number of licenses available. For example, 0/1.

  3. To view a report of license counts by user, select Download User & Permissions CSV in the upper right of the page.
    Note: This button displays only for users who have Manage Permissions enabled (Settings & Permissions > System Administration).

    This downloads a .CSV version of the Traqspera User Report to your system. You can open and review the report in Excel.

    Note: The downloaded .CSV file includes information for all users, regardless of your filtering selections on the User Management page.

    The report lists the following information for each user:

    • The user's name, email address, and company.

    • The user's account status (active or inactive).

    • The user's Trimble ID status (identifying whether a user has successfully linked their email address to Trimble ID).

    • The licenses assigned to the user.

    • The user's assigned role and permissions.
