Allow a New Hire to Edit Submitted Forms

New hires can modify their personal information up until they submit their onboarding forms.

New hires provide personal information, including name, email address, and phone number, as the first step in the onboarding process. Some personal information prefills based on the onboarding invitation. If the I-9, W-4, or TD1 forms are included as onboarding tasks, the new hire's personal information prefills portions of those forms.

If a new hire needs to change their personal information after submitting forms, you can select to unsubmit their packet so they can edit it. Changes the new hire makes are reflected in the PDF versions of Forms I-9 and W-4 (U.S. employees) and the TD1 form (Canadian employees) that can be accessed from New Hire Details.

Note: You cannot select to unsubmit records that have already been sent to Spectrum.
  1. From the home page, in the Onboarding section, select New Hire Dashboard.
    Note: Alternatively, select in the upper left corner of the home page, and select HR Management > New Hire Dashboard.
  2. Select a new hire's name.

    The New Hire Details page opens.

  3. In the Info & Status area, select Unsubmit New Hire.

    The new hire's status returns to Working on Tasks and that person can now log back in to your onboarding portal to update their information.

    Note: If the new hire has changed their name since submitting forms, they must log in with their name as shown on their New Hire Details page.
