Vista Web Managed Trimble ID Users

In Vista Web, you can set up users with a Trimble ID login that requires a username instead of an email address. This type of Trimble ID user is referred to as a managed user, who typically do not have a company email address and whose credentials are managed in the portal.

Managed Trimble ID Users

There are two types of Vista Web Trimble ID users: managed users and native users. Managed Trimble ID users have credentials managed directly through the Vista Web portal and do not have a company email address.
  • Credentials: Username with a portal-specific short code, not an email address. The short code comes before the user name: shortcode.username. Example for sample user, Charlie Day: buildco.cday
  • Login managed by: Vista Web portal administrators
  • Typically used by: Field employees who do not have a company email address and who are not VA Users, employees who previously logged in with their Employee #

Learn about managed users and the steps needed to prepare your portal so you can start assigning users.

1. Set up your portal for managed Trimble ID users
  • Make sure Trimble ID is enabled for your Vista application and Vista Web portal.
Note: To set up managed users, you must be on Vista Web version 1.25.8.434 or higher.
  • Configure Vista Web Trimble ID portal settings.
  • Set up users in Vista PR Employees so they display in the portal on the User Access page.
Note:
  • Trimble ID and managed users are not available for test environments.
  • Multifactor authentication (MFA) is not yet available for managed user logins.

For details, see Configure Trimble ID Managed User Logins.

2. Create a unique code for your Vista Web portal
  • This unique code, referred to as the short code, will become the prefix for your managed users' usernames.
  • You create the short code only once, from the User Access page. The short code cannot be changed or removed once created.

For details, see Create a Unique Short Code for Your Vista Web Portal.

3. Create managed users
  • Admins can create a managed user for any portal user who does not have a Viewpoint VP User Name and is not already associated with a VA User or native Trimble ID account.
  • Admins can either create managed users one at a time, or bulk assign multiple users at the same time.
  • If you choose to bulk assign managed users, you can download a template, enter your users' information, and upload the template to import the data.

For details, see Create Individual Managed Users or Bulk Assign Managed Users.

4. Instruct managed users to log in to the portal for the first time

Instruct your managed users how to log into the Vista Web portal for the first time: Sign in to Vista Web for the First Time as a Trimble ID Managed User.

  • Users will enter the temporary password provided, before being prompted to set an official password.
  • If a managed user has not received their credentials through email or text, they may be missing contact information. You may need to directly provide these users with their credentials to sign in.
