What's New in 2025.12
The Vista 2025.12 release includes year-end regulatory changes for the United States and Canada, the new Vista AI Help Assistant, as well as defect fixes that apply to all geographies.
US and Canadian tax routines that are effective for 2026 will be released as standard Vista Tax Updates.
Try out the new Vista AI Help Assistant!
If you use Trimble ID to log in to Vista, you now have access to the Vista AI Help Assistant. The Vista Help Assistant is a chat agent you can use to ask specific questions about the tasks you can perform in Vista. The assistant gets its information from the Vista Help.
From the Vista main menu, go to . The Vista Help Assistant opens in a browser window. Type a question in the chat field to get started.

If you do not see the assistant added to your Vista Links menu, you can add it yourself.- From the Vista main menu, go to .
- In the Organize Links window, select Add Link.
- In the Add/Edit Link window, enter the following values:
- Name: Vista Help Assistant

- Select OK to add the link.
- Select OK again to close out of the window.

New Prerequisite: Microsoft Edge WebView2 Runtime
Vista now uses Microsoft Edge WebView2 to embed web content in the Vista application. While the Vista client attempts to install this automatically, we recognize that your organization may have IT policies or security restrictions that prevent this automated installation.
To ensure a smooth upgrade to Vista 2025.10 and later versions, we recommend that your IT department manually installs the WebView2 runtime on all user machines beforehand.

Payroll Features
This release delivers on user-requested Payroll enhancements, fixes, and other improvements.
- Attach PDF documents of W-2 forms to records in PR W-2 Process form
Users can now generate and store PDF attachments of each employee's W-2 form, providing an exact copy of the W-2 form as it was issued.
The new PR W-2 Create Attachments form can be accessed from the Payroll module, or within the PR W-2 Process form, initiate the process from . Selecting this opens the PR W-2 Create Attachments form.
A generated PDF for the employee is attached to their specific W-2 record in the PR W-2 Process form, and given a unique attachment ID which differentiates the new attachment from other versions.
Additionally, when users run this attachment process, all W-2 documents generated from it are automatically assigned a new standard DM Attachment type, called PR W2 Forms.

- Update US Federal DL Limits and Rates
In the PR Federal Info form, you can use the new Update Limits & Rates button (US companies only) to update the current PR company's associated federal deductions and liabilities. In the window that opens, enter the date on which the updated limits and rates should go into effect.
Note: The process will only update the current payroll company. If there are multiple active, US payroll companies in Vista, the process must be run within each company you wish to update.- New field in PR W-2 Employees: FLSA QOC Premium
The FLSA QOC Premium field, found on the Employees tab in PR W-2 Process, tracks an employee's annual YTD FLSA compliant overtime earnings. The field is intended to be editable, but is updated when the PR W-2 federal initialization is run.
Note: For tax year 2025, the FLSA QOC premium amount is not reported on the federal W-2 e-file, but it does print in Box 14 of paper copies. QOC reporting will become mandatory in 2026. - New field in PR Pre-Tax Deduction Groups: Roth Catch-up FICA Wage Threshold
In the new Roth Catch-up FICA Wage Threshold field in PR Pre-Tax Deduction Groups, you can now assign the dollar amount of the FICA wage limit for the prior calendar year. To be compliant with the SECURE 2.0 Act of 2022, if an employee's previous year's FICA wages exceed the threshold and that employee is age 50 or older, their additional catch-up contributions for the current year must be Roth (after-tax).

You can run the new PR 401(k) Catch-up Eligibility report to identify high-earning employees who still have a non-Roth (pre-tax) catch-up deduction assigned. For more information, see the section on 401(k) Catch-up Contributions Reporting below.

- FLSA Qualified Overtime Compensation (QOC) reporting on W-2s starting in 2025 – US Only

Starting in 2025, the One Big Beautiful Bill Act introduces a new federal income tax deduction for qualified overtime compensation (QOC). For more details about this new deduction, see the overtime guidance issued by the IRS.
FLSA QOC reporting on employee federal W-2s is not mandatory until 2026. The US Treasury and IRS are providing penalty relief for tax year 2025. For more information, see the IRS Notice 2025-62.
For compliance and streamlined reporting, Vista has a new PR W2 FLSA Qualified Overtime Premium report, for employers to run to collect and display each employee's QOC amount.
PR W2 FLSA Qualified Overtime Premium Report

For the tax year that you specify, this report prints a week-by-week calculation of the FLSA qualified overtime compensation (QOC) premium amount for the employee, as well as the employee's year-to-date sum total of QOC.

Calculation Process:
- For each payroll group, the first workweek is defined by finding the earliest beginning date among all regular pay periods whose Limit Month values fall within the tax year (even if that date is in the prior year). This date is set as the official first day of the first workweek, and all seven-day workweeks for the year are established from that point forward.

To make the Premium Calculation, for each employee, the report aggregates hours and pay from hourly timecards paid within the tax year across these workweeks.

Premium Hours: These are all hours worked over 40 hours in a given workweek.

Premium Rate: This rate is one-half (0.5x) the weighted average straight-time hourly rate for the employee for that week.

Weekly Premium Amount = Premium Hours × Premium Rate

The YTD total, the sum of all weekly premium amounts for the year, is the final reportable FLSA QOC premium amount for the employee's W-2 form.
Note: Premium Hours (hours over 40) are calculated independently of standard payroll Overtime Hours (hours paid using a factor >1.0), meaning the two values for any given week are not necessarily the same. - Report

- New 401(k) report to verify Roth catch-up compliance – US Only

Starting in 2026, the SECURE 2.0 Act of 2022 requires that high earners (age 50 and older with prior-year FICA wages greater than $145,000, indexed) must make 401(k) catch-up contributions to a Roth (after-tax) account. Employers who want to support high-earning employees must offer a plan with a Roth 401(k) option, or high earners will not be allowed to make catch-up contributions.
The new Vista PR 401(k) Catch-up Eligibility report is used to verify compliance with the SECURE 2.0 Act of 2022. The report is designed as an audit tool to identify high-earning employees who still have a non-Roth (pre-tax) catch-up deduction assigned.
PR 401(k) Catch-up Eligibility Report

Eligibility for 401(k) catch-up is determined by an employee's age as of December 31st of the current tax year. If an employee's previous year's FICA wages exceed the threshold, the catch-up contribution must be Roth. The threshold is sourced from the Pre-Tax Deduction Group linked to the deduction code, or the company's first Pre-Tax Deduction Group if unassigned.
The report displays employee information including name, hire date, termination date, birth date, active status, and age as of December 31st.

Viewpoint Administration Features
This release delivers on user-requested Viewpoint Administration enhancements, fixes, and other improvements.
- New user records require a refresh to see user's active status
Due to updates in the license provisioning process, when you save a new record in VA User Profile, the Deactivated checkbox will be selected and temporarily unavailable. After approximately one minute, the record can be refreshed, which automatically clears the checkbox. If a license is available, the user will be successfully activated.

To see a list of defects fixed in this version, go to the Track Cases/Issues page of the Viewpoint Customer Portal. Use the filter options to select your product and module. In the Fixed in Version field, select this version, then select Apply Filters.
