About Approval Levels and Workflows
In Traqspera, timesheet approvals can go through either one level of approval or two levels of approval, depending on your organization's needs.
For help configuring your timesheet approval level, see Configure Approval Mode.
One Level of Approval
Companies that use one level of approval require only one person to review employee time, equipment, and expense entries. Following are examples of how one-level approvals can be set up using the locked approvals configuration.
-
PM (Locked): Project Manager has a locked view to approve time for their assigned projects. System admin approves overhead time.
-
Assigned Supervisor (Locked): Supervisor has a locked view to approve time for their assigned employees.
-
Superintendent (Locked): Superintendent has a locked view to approve time for jobs they supervise. The system admin or superintendent approves overhead time.
Two Levels of Approval
If your approval workflow requires more than one person to review employee time, equipment, and expense entries, we recommend using two levels of approval. The order of approvals does not matter, but typically general foremen, supervisors, or superintendents perform the first approval, followed by management roles, such as PMs or system administrators, for the second approval.
Following are examples of how two-level approvals can be set up using the locked approvals configuration.
-
Assigned Supervisor (Locked) → System Admin (Unlocked): First approved by the assigned supervisor, then by a system administrator.
-
PM (Locked) → System Admin (Unlocked): First approved by the project manager, then by a system administrator.
-
Superintendent (Locked) → PM (Unlocked) or System Admin (Unlocked): First approved by the superintendent, then by either a project manager or system administrator.
Considerations for Two-Level Approvals
-
First-level approvers will not have access to the second approval.
-
First-level approvers will be locked out of approving if another first-level approver has already approved an entry.
-
Timesheets where at least one entry does not have both levels of approval will have a status of Partially Approved.
-
If a second-level approver selects Approve All [Employee’s] Entries when the first approval has not been completed, all employee entries will have both levels of approval applied.
