About PIN Codes

PIN codes, also called passcodes, are commonly used for shared and dedicated timeclock devices in Traqspera.

They offer a convenient way for employees to enter time without having to type out an email and password every time. Each role requires specific permissions to use PIN codes. For more information, see Set Up Pinpad Time Entry.

You must also configure several settings before using PIN codes.

PIN Code Configuration

When configuring PIN code settings for your company, navigate to Settings & Permissions > Settings > Timesheet > Clocking and review the following fields.

  • Clock In/Out with PIN Code: Determines whether the user will be automatically clocked in or out when entering a PIN code (set to Yes), or whether they will also have to enter Job and Sub Job (set to No).
  • Default Employee PIN: This setting determines the default PIN assigned to new employees. Select from the following options.
    • Traqspera ID
    • Employee Number
      Note: If your employee numbering uses alphabetical characters, you must also enable Use Full Keyboard for PIN Clocking.
    • Employee Phone Number
      Note: If an employee does not have a phone number, the Employee Number is used instead.
    Changing the default PIN code method does not affect existing PINs. If you want to change existing PINs to a new default PIN code method, you must navigate to Employees > Employee Management and select Default Passcodes then select Update for this change to take effect. This change takes a few minutes.
  • PIN Length: This setting determines the length of PINs. If a range is chosen, an Enter button displays on the PIN pad. This setting works with the Default Employee PIN setting to ensure the PIN fits the specified length or range by truncating or padding with 1s on the end as needed.

    If the default is Employee Number, the first specified digits are used; otherwise, the last specified digits are used.

  • PIN Pad Timeout Length: Determines the inactivity length in seconds before the user is sent back to the PIN pad automatically. Set to 0 for no timeout.
  • Use Full Keyboard for PIN Pad Clocking: Determines whether you want to use a full keyboard PIN pad (set to Yes), or a numerical PIN pad (set to No).

Viewing a User's PIN Code

Employees are not able to view their PIN codes unless they are set up for attestations. Employees should ask a supervisor to recover their PIN code if they forget it.

Changing a Single User's PIN Code

To view or change an individual user's PIN code, either that user or an administrator must navigate to Employees > Employee Management then select the account. Select Additional Info then enter the preferred PIN code.
