Best Practice: Securing your project data with personal Trimble Identity accounts

Stabicad
Context To quickly get started with Stabicad, teams sometimes consider using a shared or general email address (such as info@company.com or engineering@company.com) to create a Trimble Identity. While this might seem convenient, it actually creates technical friction and poses a security risk to your project data.
The benefit of personal accounts Trimble licenses are designed as "Named User" licenses. Assigning a license to a personal company email address (e.g., j.smith@company.com) provides two major benefits for your team:
- Frictionless working: If multiple colleagues try to use the software simultaneously via a shared email address, the system will log one user out to let the other in. This leads to frustration and potential loss of unsaved work.
- Data Security & Traceability: In collaborative BIM projects, it is crucial to know exactly who made a specific change. Furthermore, using a shared password creates a security vulnerability: if an employee leaves the company, they might retain access to your sensitive project data.
Best Practice By giving each user their own Trimble Identity, you maintain complete control over your company's data security.
Steps:
- Ensure every employee creates a Trimble Identity using their personal company email address.
- Log in to the Trimble Admin Console and assign the Named User license to this personal account.
- When an employee leaves the company, simply revoke the license in the Admin Console. Your project data remains entirely secure, and the license is instantly available for a new colleague.
