Running the Bid Export Report (Vista)

In a Bid Export report, item information can be added or edited directly from the report list.
To access the Edit options menu, select Edit from the Summary report screen or right-click on an item.

Edit (or Add) Item

To Edit or Add an Item, either go to Edit > Edit or Edit > Add Item.  Additionally, the Edit Item window can be accessed by right-clicking an item and choosing Edit Item or Add Item.


Item:  The field displays the Item name.  If adding an item, enter in an item name in this field.
Comment:  This field is used to enter comments about the item.
WBS section: This section of the window allows you to assign the item's Work Breakdown Structure elements. The Bid Export Report is organized using a Work Breakdown Structure with the following elements:
Cost Type:  Cost Types are categories that items listed in a Bid Export Report are organized into.  There are five Cost Types:  Material, Labor, Subcontract, Equipment, or Other.
Segments:  Every item in  a Bid Export Report can be assigned to a the segments defined in the General Options.
Quantity:  The quantity of the item.
UOM:  The Unit of Measurement used for the item.
Cost Type:  This window section’s title will change depending on which Cost Type the item is set to in the WBS section.  For example, if the item’s Cost type is set to “Material,” the section’s title will be the same. If the Cost Type is set to “Labor,” the section becomes inactive.

In the Material section:
Unit:  The item’s unit can be set in this field (usually expressed in dollars).
Adjustment:  Any adjustment value can be entered into this field.
Extension:  This field cannot be edited.  The value is calculated using Qty * Unit * Adj.
Tax Amount: The tax amount, as calculated by Extension * the tax % (set in the Properties of the export)
Tax ? Select this check box if the item is taxable

In the Field Labor section:
Unit:  The item’s type can be set in this field (usually expressed in hours).
Diff. Factor:  Enter the difficulty factor.
Hours:  This field cannot be edited. The value is calculated using Qty * Unit * Diff Factor.
Rate:  Enter the labor rate.
Extension:  This field cannot be edited. The value is calculated using Hours * Rate.
Burden: The labor burden as calculated by Extension * the Labor Burden % (set in the Properties of the export)

In the Profit & Overhead section:
Total Cost:  This field cannot be edited. The value is calculated using Material Extension + Labor Extension + Tax + Labor Burden.
Profit:  The profit amount, as calculated by the settings in the Profit & Overhead tab in the Properties of the export.
Overhead:  The overhead amount, as calculated by the settings in the Profit & Overhead tab in the properties of the export.
Bid Amount: The final cost of the item, calculated as Total Cost + Profit + Overhead.
Profit & Overhead:  Click to open the Profit & Overhead dialog. See the Edit Item Profit & Overhead link.

Edit Item Profit & Overhead

To edit the Item Profit & Overhead options, go to Edit > Edit Item Profit & Overhead or right-click an item and choose Edit Item Profit & Overhead.

In the Material section:

In the Field Labor section:

Total Cost:
This is the Material Extension field of the edit item dialog
Total Cost:
This is the Labor Extension field of the edit item dialog
Burden:
Tax amount or percentage

Labor burden amount or percentage
Apply As: Select % or Each or AllApply As: Select % or Each or All
Total Burden:
Tax dollar amount
Total Burden:
The calculated labor burden in dollars
Extension:
Calculated as Total Cost + Total Burden

The Overhead amount or percentage

Total Overhead:
The calculated Overhead amount for the item

The Profit amount or percentage

Material Total:
Calculated sum of Total Cost + Total Burden + Total Amount + Total Overhead + Total Profit

Field Labor Total:
Calculated sum of Total Cost + Total Burden + Total Overhead + Total Profit

 
  • Profit Includes Overhead: Check this if the Profit calculations should be based on the Cost + Overhead of the item.
  • Use Overall Overhead: Check this is the same Overhead percentage is used for all Cost Types.
  • Use Overall Profit: Check this if the same Profit percentage is used for all Cost Types.

Bid Amount: Calculated as the Material Total + Field Labor Total (i.e. the sum of Costs + Tax + Labor Burden + Overhead + Profit)

Select OK to save and continue.

Select Cancel to exit the Profit & Overhead dialog without saving any changes.

Reallocate Profit & Overhead

To reallocate the Profit & Overhead options, go to Edit > Reallocate Profit & Overhead.

The Summary Properties dialog displays. Here, you can edit the Profit and Overhead values as necessary (in any of the tabs) from the report screen.

After you finish modifying the Bid Export Report Item, click OK to save the changes.

Cancel:  Returns you to the Bid Export Report screen without saving any changes.
 

Viewing the Bid Export Report (Vista)

The Bid Export Report contains columns that can be modified, such as adjusting the layout, size, position, etc.  How the Bid Export Report is arranged is called a view.

If you wish to save a customized view, go to View > Save View and select a slot from the drop-down menu (i.e. “View 10”).  The program prompts you to name your view.

You can change between predefined views via the tabs at the bottom of the report window.

Use the Copy Views icon to copy saved views. When clicked, a dialog opens and prompts you to select a user, or default, to copy views from. If the you are logged in as a supervisor, you can copy views to other users or to the default.

The Bid Export Report has a Sort Bar, allowing you to choose different ways to sort the items.  In addition, you can click on  to create new sort groups, or  to edit existing groups.

Exporting (Vista)

When your Bid Export Report is ready to be exported to the XML file, go to File > Export to Vista or select   from the Summary tool bar. The Save Export prompt opens so you can select where to save the file.

Select the check box for Always save bid files to this directory if you want to set the current chosen directory as the default location for future exports.
