Manage Checklist Templates

Only users in the security group added to the portal setting User Group for Checklist Administrator Permissions will have access to the Manage Checklist Templates and Manage Checklists Lookups pages.

Select Field Tools > Checklist Templates.

Making a New Template

  • Select New Template.
  • Enter a name for the template, and select Create.

Editing a Checklist Template

  • Select a checklist template from the grid to edit that template.
    • Rename: at the top of the screen you will see the template name. This can be changed at any time by clicking the blue rename link.

    • Report RDL: allows users to override the SSRS template from the portal with a SSRS report made specifically for this template. Exported checklists will use this report output in place of the default. For more on how to modify, see Adjust Module-Specific SSRS Reports.
    • User Groups for Access: you must assign your checklist to a user group via this drop-down, for each template. If you do not, users (Non-Checklist Admins) will not be able to use this template.
    • Admin Group for Access: the members of this administrator group will be able to fill out this checklist template and see all other checklists of this template created by others.
    • Disable Submission: Check this box to prevent users from submitting this checklist.
    • Workflow: Select this option to enable a workflow for this template.
    • Fillable PDF: Upload a fillable PDF. Checklist instances generated from these templates allow users to fill out the required fields directly on the PDF interface.
      Note: Once a PDF is successfully uploaded, the options to Add Header Field or Add Item Group are disabled to prevent mixing standard checklist fields with the PDF format.

      If you have already added a Header Field or an Item Group, this option will be greyed out and inaccessible.

    • Edit Header Text: this text displays at the top of the checklist, beneath the title. This can be used for additional instructions. Images added to the header text will not show up in the print version but can be added if the SSRS report is customized for that checklist template.
      Tip: To add Notes to the Checklist header, select Add Header Field, and in the Name field, enter Notes, with this exact spelling and capitalization.

      To see this column in the Checklist grid, the portal setting Enable Notes header column in Checklists and Action Items must be enabled.
