Use this screen to set up certain defaults for tickets assigned to particular jobs. Specifically, the miscellaneous charges can be set up to default by job and area code onto the scale ticket. It is also possible to establish default freight charges based on the hauler code for the particular job.

Getting Started

Upload your invoices to Automatic Invoicing in PDF format.

Upload Invoices

Prepare the batch of invoices in Automatic Invoicing by adding page breaks, removing pages, or rotating pages as needed.

Prepare Invoices

Once Automatic Invoicing has populated the header data for the PDFs in the batch, you can review the results, correct any errors, and then send the invoices to Spectrum.

Process Invoices

With the Inbox in Automatic Invoicing, you can have invoice-related attachments forwarded directly from your shared AP mailbox to Automatic Invoicing where you can quickly add them to a batch to be processed.

About the Inbox

You can view the status of all invoices sent to Spectrum from the Completed tab in Automatic Invoicing.

The Accounts Payable Admin can edit invoice settings, which apply to all new invoices you add to Automatic Invoicing.

                                          One</span> by logging into <a class="xref j-external-link" href="http://team.viewpoint.com" target="_blank">team.viewpoint.com</a>, and then selecting <span class="ph uicontrol">Accounts Payable</span> from the main menu.</p><p class="p">Use Automatic Invoicing to enter validated, unapproved vendor invoices. There are three steps in the process:</p><ol class="ol"><li class="li"><span class="ph" id="concept-af8f26f4-cb54-416b-b5e8-e5792f0e11cd--nl__ai_overview_1"><span class="ph uicontrol">Upload</span> PDF invoices as a batch. The Data Entry menu is used to
      record invoices as they are received. Invoices can be tracked optionally through Unapproved
      Invoice Processing, and routed automatically to reviewers for approval. Options are available
      for correcting invoice entry errors. Typically, invoices are entered and updated, then later
      paid. In addition, credit memos, recurring invoices and subcontract progress billings can be
      created and processed. Payments can be made by issuing regular check or by manual or pre-paid
      checks. Issued checks may be voided.

Materials

When you initially log on to Spectrum, the Site Map screen
      will display. This is the "main screen" in Spectrum. Along the left side of the screen, the
      module menu displays. The modules that your company has installed and that you have security
      access to display on the menu. After selecting a module, the processing menu will be enabled.
      Processing menu items include the following options:

Spectrum menus

The Materials Management module streamlines the process of
      sales and job costing by directly importing weight tickets. This module integrates with
      Inventory Control and Job Cost for materials requisitioned to jobs, to Order Processing and
      Accounts Receivable for customer sales, to Accounts Payable for the creation of invoices, and
      with Document Imaging for attaching images to scale tickets.
