Configure Earnings Settings
HR administrators and authorized HR specialists can configure settings specific to the Earnings section of Employee Self-Service.

the Employee
Self-Service main menu
, select HR Admin Settings.
The Admin Settings page opens.
- Select the Earnings Settings section on the left side of the page.

At the top of the page, select a company or an
entity (if applicable) from the dropdown field.
Note: The dropdown field lists only those entities associated with active companies in HR Management (Admin Settings > Enterprise Settings).
Depending on whether you use companies or entities, you will notice the following when selecting the dropdown field:

Companies display with their company code followed by a hyphen and the company name. For example, PSC - Puget Sound Contractors.

Entities display with the company code followed by the entity code and entity name. For example, PSC 101 Chase Electrical or PSC 102 NW Painting Specialists. The parent company name does not display for entities.
The earnings template for an entity prefills with information from the parent company, such as a logo or address, and may be edited at anytime.
Note: When accessing their earnings, employees will see the company code in the Company dropdown on the Earnings page. For entities, this is the parent company code. -

Use the setting When do you want your employees to see
their paycheck? to determine when to make pay stubs available in
your portal:

View when processed: Select this option if you want to make pay stubs available to employees as paychecks are processed in Spectrum (on a rolling basis).

View on payday: Select this option if you want to prevent pay stubs from being available before the check date.

To customize the information that prints on
employee paychecks for the selected company, configure the Paystub Statement Template.
You will see the following options, which you can modify as appropriate. Unless otherwise noted, these settings affect the PDF and printed versions of employee pay stubs, not the HTML version that displays on the Pay Stubs Page.

Company Logo: Add a logo (.png or .jpg) to the paycheck template for the selected company. You can browse for a file on your computer, or drag and drop an image file to this section.
Logo image requirements: Logo images must be 75 pixels high and 175 pixels wide. Supported file types: .png and .jpg. Transparent .png files are recommended.
Time off fields: Select the time off types to show on employee paychecks for the selected company. Options: Vacation (V), Holiday (H), and Sick (S). You can select more than one time off type.
To customize the labels for the time off types that show in Earnings and on employee pay stubs, enter your preferred label in the text box associated with the selected time off type. For example, you might want to use the label Paid Time Off instead of Vacation.Note: The text box is available only for the time off types that you have selected to display on paychecks. Time off types without a custom label display with their default names (Vacation, Holiday, or Sick).Note: This setting affects the PDF and HTML versions of the employee pay statement.-
Federal Exemption: To prevent the Federal Exemptions section from showing on employee pay statements in consideration of the Tax Cuts and Job Act (TCJA), enable the setting Do NOT display Federal Exemption on the Earnings Statement.
Note: This setting affects the PDF and HTML versions of the employee pay statement. -
Union Detailed Earnings Descriptions: To provide union members with more details in the Gross Pay section of their pay stubs, enable the setting Show union description, wage code description, and level #. Details include their union name, wage code description, and level. For example, Local #175, Carpenter, Level 1.
Note: This setting affects the PDF and HTML versions of the employee pay statement. -
Employer Secondary Address: Enter a secondary address (such as a mailing address) for the selected company.

Employer Phone Number: Enter a phone number for the selected company.

Tax Information: Enter the Federal Tax ID (EIN) and/or State Tax ID / Province Tax ID for the selected company.

Additional Information: Enter any text that you would like to have display at the bottom of employee paychecks for the selected company. You can enter up to 1500 characters.
Note: This text displays on all paychecks for all pay cycles until you change it, so it is recommended that you do not use this section to communicate information specific to a pay cycle. -
Employer Tax ID: Allows you to show or hide your employer tax ID on W-2 forms and T4 slips:

Select Display Employer Identification Number (EIN) on the W-2 to show your employer tax ID on W-2 forms (defaults as checked). To prevent your employer tax ID from showing on W-2 forms, deselect this checkbox.

Select Display Employer Account Number on the T4 to show your employer account number on T4 slips (defaults as checked). To prevent your employer account number from showing on T4 slips, deselect this checkbox.

To review the pay stub template changes that you have made:
- Select the Earnings > Pay Stubs tab.
- Select the applicable Company.
- Select View Pay Stub for any of the pay stubs shown.
- In the HTML view, select Download PDF to view the earnings statement with your changes. You can return to the Earnings Settings page at any time to modify your template as needed.
