Get Started with Unified User Management

Follow these steps to import your HR Management for Spectrum users into Traqspera User Management.

To complete this task, you will need permissions or assistance from the following roles:
  • An HR person with access to Employee Records in Spectrum for questions on contact information
  • An HR Admin or IT Admin in HR Management for Spectrum
  • A System Admin in Traqspera
You must already have employees in Traqspera.
Once you complete the following steps, you will no longer create your Employee users through Employee Kiosk Operators in Spectrum or migrate them through Team User Management.

Estimated Time: Depending on the size of your company, this task can take from 10 minutes to 1 hour.

  1. Prepare for unification.
    1. In HR.viewpoint.com, navigate to Settings > HR Admin Settings > Enterprise Settings and turn off all companies that are not active.
      Important: As of 12/1/2025, Unified User Management is released only for customers with one company and one tenant in Traqspera. Multi-Company will be released soon.
    2. Navigate to Settings > HR Role Management and take note of any user with Get Trimble ID in their Has Trimble ID column.
      These users will not be imported into Traqspera unless they already exist in Traqspera. You can re-invite them once the system is unified.
      If the user is in Traqspera, they will get access to paystubs during the import process. If the user is not in Traqspera, they must be invited as a new user.
    3. If your Traqspera system isn't already configured for mandatory Trimble ID, prepare your portal.

      Unification will help you upgrade users who do not yet log in with Trimble ID. If a user is in both Traqspera and HR.Viewpoint.com, their Traqspera legacy login will be automatically upgraded to Trimble ID. This means after the systems are unified, they will log into Traqspera with their Trimble ID.
  2. Run the Unification Wizard.
    Note: The Wizard steps vary based on your unique setup. You may have fewer steps than listed.
    1. In Traqspera, navigate to Settings & Permissions > User Management, then select Unify with Spectrum HR.
      Tip: Don't see a button to Unify with Spectrum HR? Attend a drop-in session for advice on the next steps.
    2. If you have any employees on HR Management for Spectrum that don't exist in Traqspera, they are automatically synced prior to the import process. Select Next to proceed.
    3. Review the total number of Matched users with linked employees, Users with matching employee codes but mismatched Trimble IDs, Users with matching employee codes but mismatched Logins, and New Trimble ID users ready to be added to Traqspera with linked employees, then select Next.
    4. Review any users whose Traqspera and HR User profiles match perfectly, then select Next.
    5. Review any users with multiple linked employees and choose the correct employee code for the user by choosing Select this employee for your preferred employee profile. When you are finished, select Next.
    6. Review any employees who have two Trimble ID and choose the correct login by choosing Select this login for your preferred employee profile. When you are finished, select Next.
    7. Review any users with legacy Traqspera logins. They will be upgraded to a Trimble ID if the user has a Trimble ID in the HR Data. You must alert these users that the next time they log into Traqspera, they will need to use their Trimble ID. Select Next to continue.
    8. For each new Trimble ID user ready to be added to Traqspera with linked employees, select the Traqspera role you want to assign them from the dropdown. When you are finished, select Next.

    9. Your data sync initiates. It may take a few minutes for the changes to be complete. Please wait.
    10. When the data sync is complete, the page displays "All users have been added." Select Next to continue.
Congratulations, you are unified!
  • All new users for HR are now invited through Traqspera.
  • Manage all User emails and access through Traqspera except for HR Roles.
  • HR Roles are managed on the HR Role Management page.

This page includes a .csv report for each step of the import process. This is also available called Merge Report on the User Management page, if needed for reference.

You can now Invite Employees with Unified User Management in Traqspera.
