Time Card Entry - Field Descriptions

Use the table below for reference when completing the fields on this screen.

Fields/ButtonsDescriptions
Employee codeEnter the employee code for whom time card information is entered. Press F4 or double-click on this field to select from a list of available employee codes, names, titles, supervisors, and unions.
Note: If cost center entities are being used, the software verifies that the employee is authorized for the entity identified during Set Payroll Cycle.
Pay rate Pay type

The pay rate level defaults from Job Cost > Phase File Maintenance, when specified. The pay rate for the time card then defaults based on this level, unless the Payroll Installation > Default pay rate field is set to Employee pay rate or Higher of the two rates, in which case the rate defaults from Employees. The pay rate is based on the work date entered in Time Card Entry window. If no work date was specified, the pay rate is based on the period end date.

If the pay type is an incentive pay type, the special character designated in the Payroll Installation screen Incentive pay code field must appear before the Regular, Overtime, or Double time character.

For Time + Material jobs, the billing rate defaults based on the bill code specified in Wage Code File Maintenance (and then Union File Maintenance) for the rate level of the phase as the highest priority. If the bill code is blank or if there is no phase override, the existing hierarchy is used to default the Time + Material rate.

Check sequenceEnter the check sequence number; normally this is "1". If more than one check is issued to an employee during a pay cycle, enter the number, 2-9.
Check typePress Enter to accept the default of Regular check. Otherwise, select the check type desired from the drop-down menu:
  • A Regular check is one printed from the computer.
  • A Manual check is a check that has been written by hand rather than generated by the computer. Manual checks must be entered in the computer so that the employee's year to date information reflects the amounts on the manual check. In addition, if manual checks are being used and cost centers are being used, additional Cost center and Bank account fields display.
  • A Void check is one that has been issued to the employee and must now be reversed.
    Note: If you attempt to void a check that has a check date from a previous year, there may be payroll tax ramifications.
Check #If the check type is Manual, enter the check number of the manual check that is being recorded. If the check type is Void, enter the check number of the void check to be recorded. The Void check number specified must be a valid check number in the associated check reconciliation file in Payroll, Accounts Payable, or Cash Management, depending upon installation settings.
Totals
Regular hoursThis field displays the total of the non-overtime hours entered for the employee. (This field includes vacation, sick, and special rate hours in addition to regular hours.)
Overtime hoursThis field displays the total of the overtime hours entered for the employee.
Double time hoursThis field displays the total number of double-time hours entered for the employee.
Equipment hours

This field appears only if an equipment department is entered and Equipment Control is installed on the system.

Add or edit the equipment hours for this time card line.

If the pay type for this line is ER, EO, ED, or EU, the number of employee hours displays on a second line as the number of equipment hours. The equipment hours may be changed by pressing the arrow from the "rate" field.

ExtensionThis field displays the gross payroll dollars due this employee, based on time card entry below.
Buttons
Listing buttonSelect to open the Time Card Edit List starting screen where you can produce a report of the lines entered.
By JobSelect to open the Time Card Entry by Job screen, where you can distribute hours to jobs. This information updates to Job Cost when the Payroll Update function is executed.
QuantitySelect to open the Time Card Quantity Entry screen where you can distribute quantities that updates to Job Cost when the Payroll Update function is executed.
Auto OTSelect to open the Auto-Overtime Processing screen where you can review a list summarizing the number of hours assigned to the pay types used as the basis for overtime calculations.
RedistributeSelect to redistribute salary amounts among time card lines for all salaried employees within the current batch code.
AL OT ExemptSelect to open the Alabama Overtime Pay Exemption Utility window, which is used to create time card lines which effectively exempt the overtime wages for this employee's layoff check. For more information, see Alabama Overtime Pay Exemption.
