Export OSHA Injury / Illness Reports

You can export injury/illness information that you normally report using the HR OSHA 300, 300A, and 301 reports to a CSV file for electronic submission to the Occupational Safety and Health Administration (OSHA).

Beginning January 1, 2024, the Department of Labor requires establishments in certain industries with more than 100 employees to electronically submit injury and illness information to the Occupational Safety and Health Administration (OSHA).

The following details how to generate the 'cases' and 'summary' CSV files. If you are required to electronically submit injury/illness information, you must generate and submit both of these files.
  1. From the HR Programs menu, select HR OSHA Cases Export File.
    The HR OSHA Cases Export File form opens.
  2. Enter the following:
    1. Survey Year - The tax year for which you are reporting injury/illness information.
    2. HR Company - The HR company for which you are reporting injury/illness information.
    3. Establishment ID - The establishment ID provided by OSHA for your company.
  3. Select Export.
    The Save Export As window displays, defaulting a file name of YYYY_EstablishmentID_OSHACases.csv.
  4. Enter the file name and location to use or accept the default file name and location.
  5. Select Save.
    The system saves the export file and displays a confirmation message; close the message.
  6. From the HR Programs menu, select HR OSHA Summary Export File.
    The HR OSHA Summary Export File form opens.
  7. Enter the following:
    1. Survey Year - The tax year for which you are reporting injury/illness information.
    2. HR Company - The HR company for which you are reporting injury/illness information.
    3. Establishment ID - The establishment ID provided by OSHA for your company.
    4. Average Number of Employees - The average number of employees you had for the specified year.
    5. Total Hours Worked by all Employees - The total number of hours worked by all employees for the specified year.
    6. Management Comments - Management comments for this summary report (see F1 Help for more information)
    7. Establishment Comments - Additional comments about this summary report.
  8. Select Export.
    The Save Export As window displays, defaulting a file name of YYYY_EstablishmentID_OSHASummary.csv.
  9. Enter the file name and location to use or accept the default file name and location.
  10. Select Save.
    The system saves the export file and displays a confirmation message; close the message.
You can now submit both files to the OSHA.
