How to Handle Emergency Maintenance

The best way to deal with an emergency is to plan ahead for it. Complete the following steps to stay ahead of any unforeseen emergency maintenance your company may encounter.

The task created during the steps below will tie to all equipment but will never come due, meaning it will only be used on an as-needed basis.

Creating the Emergency Maintenance Task

  • On the Site Map, click Preventive Maintenance > Maintenance > P.M. Tasks and then click New.
  • In the Task code field, create a name for the unscheduled maintenance task (for example, UNSCHED), up to 10 characters in length.
  • In the Description field, enter a brief description of the task (for example, UNSCHEDULED MAINTENANCE), up to 30 characters in length.
  • In the Frequency method section, select Elapsed days. This option means the task frequency will be based on elapsed days only (for example, every 90 days).
  • In the Number of days field, enter 9999 and then click OK until you return to the P.M. Tasks screen. Then click the check mark in the upper right corner to return to the Site map.
  • Click Preventive Maintenance > Maintenance > P.M. Setup. The Equipment P.M. Setup screen displays.
  • In the Equipment code field, enter the code associated with the piece of equipment or use the drop-down menu to select the piece of equipment.
  • In the Task identification field, use the drop-down menu to select the task created in steps 1-5.
  • Entry in the Last P.M. Date and Last meter #1 reading fields are required but the actual data entered is not important when used with the emergency maintenance task. For the emergency maintenance task, it is acceptable to complete these fields with dummy data.
  • Repeat steps 7-10 for all of your remaining pieces of equipment.
  • When all equipment has been tied to the emergency maintenance task, click the Save and close button to return to the Site Map.

Using the Emergency Maintenance Task

Once a piece of equipment has required emergency maintenance, complete the following steps.

  • Click Preventive Maintenance > Data Entry > Batch P.M. Entry.
  • In the Batch field, enter the applicable batch code or press Enter to accept the system default.
  • In the Equipment field, enter the code associated with the piece of equipment that required emergency maintenance or use the drop-down menu to select from a list of available equipment codes.
  • In the Task field, enter the task identification code associated with your emergency maintenance task or use the drop-down menu to select the task identification code.
  • In the P.M. Date field, enter the date the emergency maintenance was performed or use the drop-down menu to select a date from the Date Change window.
  • In the Meter field, enter the piece of equipment's most recent meter reading.
  • In the Personel field, enter the name of the person who performed the work.
    Note: The name entered in this field does not need to be associated with an employee code; therefore you can enter a non-employee's name if an outside service person performed the work.
  • In the Notes field, enter a brief description of the work performed.
  • Click the Save and Close button to return to the Site Map screen.
