Invite Users From Spectrum
Add Spectrum users to your Traqspera portal.

Select Settings > User Management.
The User Management page opens showing a list of all users currently in the system and a summary of license usage by license type.

In the upper right of the Users section, select
Invite From Spectrum.
This opens step 1 of the invitation assistant, which will guide you through the invitation process.

Guided step: Select a company. If you have
multiple companies in your enterprise, the Select Company dropdown field
displays as step 1. If you do not have multiple companies in your enterprise,
skip this step.
- Select the company with the users you want to invite. The dropdown list includes all companies (and entities, if applicable) in your enterprise.

Select Next in the lower right of the page to advance to the next step in the assistant.

Guided step: Select users. The Spectrum Employee List
displays, showing all active employees in Spectrum, who are not set up as users in Traqspera.

Select the users to add by selecting the
checkbox next to their name in the left column. You can add users
individually or in bulk.
Tip: You can filter and sort the grid to select a subset of users by a specific category, such as job title. For example, to add users from the accounting team, you can filter by the appropriate job title and then select the users to add. If you clear and reset filters, the system retains the list of employees already selected.
- Select Next in the lower right of the page to advance to the next step in the assistant.

Select the users to add by selecting the
checkbox next to their name in the left column. You can add users
individually or in bulk.

Guided step: Assign
roles. Assign the appropriate role to the selected users, or leave their
default role as shown. A user's assigned role determines what that user can see and do in your portal.
You can reassign user roles individually or in bulk:

To reassign a user's role individually, select the Role dropdown for that user, and then select the applicable role.

To assign the same role to multiple users at once:

Select the checkbox next to the applicable user names in the left column of the grid, or select the checkbox in the Full Name column header to select all users.

Select the Change Role dropdown button in the upper right of the grid.

Select the role to apply to all selected users.
The Role column updates for the selected users.

- Select Next in the lower right of the page to advance to the next step in the assistant.

Guided step: Review and send invitations. A
summary page displays, showing the list of Invitations to send and
Invitation errors:

Invitations to Send: Lists the users who will receive an invitation to your portal, including their names, email addresses, and the roles they will be assigned. Email addresses are pulled from Spectrum.

Invitation errors: Lists the users whose invitations cannot be sent because they do not have an email address on file in Spectrum. You must add email addresses for these users in Spectrum and then invite them again from the User Management page. The email address you enter must be the one they use for their Trimble ID.

Select Send in the lower right of
the page.
This sends an email to the selected users with valid email addresses, inviting them to Traqspera. Users typically receive the email within five minutes.

Guided step: Summary and reports. Review
the Invitations Report
and the Errors Report.
You can select Download
Report in either of these sections to view more details:

Invitations Report: Lists the users whose invitations were sent successfully. These users will show a status of Invited on the User Management page (System Access column).

Errors Report: Lists the users whose invitations cannot be sent due to errors with their email address. Users must have a unique email address on file in Spectrum before you can invite them to Traqspera. You must add email addresses for these users in Spectrum and then invite them again from the User Management page. The email address you enter must be the one they use for their Trimble ID.
