  • Vista 2025.6Vista 2025.10 (coming soon)
  • Vista 2024 R1

Release Highlights

This release includes the following new enhancements. For more details, see the module-specific release highlights sections that follow.

  • New Auto PO Receiving: The new Auto PO Receiving feature uses Optical Character Recognition (OCR) to extract data from a picture of a packing slip to automatically populate the Receiving # and Remaining Units fields for a purchase order. For details, see the Financial Controls - Purchase Orders section.

  • Updates to grid timecard group clock in / out: Group clock in and out now automatically calculates employee hours and populates the Start and Stop columns on group clock out. For details, see the Field Management - Timecards section.

  • Collect driver's license info during onboarding: You can now include the new Driving Info section in onboarding profiles. This allows new hires to enter their driver's license details, which then automatically transfer to Vista, simplifying your hiring workflow. For details, see the HR Management - Onboarding section.

Trimble ID Updates for Vista Web

Review changes related to Trimble ID setup and logins in the web portal.

Important: Coming soon in January 2026 – Trimble ID login enforcement will begin in waves: We're moving to an improved login experience! Starting in January 2026, we will begin enforcing Trimble ID as the only way to log in to Vista Web.

We will roll out this change in scheduled waves. After Trimble ID is enabled for your organization, you'll have a dedicated window to transition all user accounts. After this period, Trimble ID will be mandatory. If you already have Trimble ID enabled, you can start transitioning your users today.

The move to Trimble ID is designed to provide a more secure and streamlined login experience for all users. Look for additional communications with more details about what to expect in the coming months. To learn more, review our frequently asked questions: Trimble ID Logins for Vista Web FAQ.

  • Automatically generate Trimble ID managed usernames: The new portal setting TID Managed Users Auto-Naming Pattern allows you to define how the portal automatically generates user names for your new managed users. This setting applies when creating individual managed users or when bulk assigning using the import template.

This setting uses data directly from Vista PR Employees. Choose from one of the following patterns for your managed users' usernames: FirstName_LastName, Phone Number, Sort Name, Employee Number. For more details, see Configure Trimble ID Managed User Logins.

This example shows the auto-generated FirstName_LastName username:

  • Trimble ID now available for Field Mode logins: If you have field users who share devices and your portal is configured for Field Mode logins, you can now use Trimble ID to log in with Field Mode. From the portal login screen, select the down caret next to Sign In with Trimble ID and choose Sign Into Field Mode with Trimble ID.

  • Set up passkeys for Trimble ID login credentials: All Trimble ID users can set up passkeys, which are a form of MFA and used in place of passwords when signing in. For more details, see Set Up MFA for Trimble ID Logins.

If your organization has Trimble ID enabled, your users can set up passkeys. This change is not version-specific.

To access your Trimble ID account from within the web portal, select your name in the upper right and choose TID Profile. The site opens in a new tab.

  • Trimble ID users can clock in through Kiosk Mode using employee number and password: Managed and native Trimble ID users can now clock in and out through Kiosk Mode using their old employee number and password. Continue to look for additional changes to Kiosk Mode in future releases.

HR Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Applicant Tracking
    • View attachments from Applicant Search tasks lists: Tasks with an attachment display a paperclip icon, which you can select to open a popup window to view or download attached files. This simplifies the process for reviewing candidate resumes and other documents.

  • Benefits
    • View benefits window notes on Benefit Audit Report: The Benefit Audit Report now includes notes added by employees during their benefit elections. These notes display in the report under the Employee Elected Benefits section, making it easier for administrators to review and reference notes even after a benefits window has been approved.

From the Benefits Dashboard, admins can view the report per employee by selecting Action > View Window History, or for all employees by going to Batch Action > Export Summary.

  • Onboarding
    • New Onboarding Profile option to collect driver's license information: Add the new Driving Info section to a new hire's Onboarding Profile so they can enter their information during onboarding. When this new hire is initialized to Vista, their information automatically transfers to Vista HR Resources, streamlining the hiring workflow.

  • Personal Information
    • Employees can opt out of direct deposit even if they already set it up: If an admin enables the new portal setting Allow users to opt out of Direct Deposit, employees will see an Opt Out toggle in the Direct Deposit section of the Update My Personal Info page. This gives employees more control over their direct deposit settings.

  • Timecards
    • New button to approve & go to next timecard in Timecard Approval: When you open a timecard in Timecard Approval, you can now select the arrow next to the approve or reject options. This next button approves or rejects the timecard and moves to the next one, streamlining your workflow when reviewing multiple timecards. For more details, see Approve Time as a Timecard Manager.

Tip: Approve/reject and go to next is most useful when you filter timecard status by Unapproved Only. If you set other filters, selecting the next button may skip timecards.

    • View full field text on the Grid Timecard: For lengthy fields, you can now hover over the entry to see the full text. This update restores previous functionality.

Field Management Highlights

The following enhancements and customer suggestions were added in this release.

  • FM Mobile Highlights
    • New warning when signing out with unsubmitted timecards: If you attempt to sign out but have unsubmitted timecards, a new message displays to warn you that the unsubmitted timecards will be lost if another user logs in on the device. You can see the total number of unsubmitted timecards and the most recent. Choose to go to that timecard, or log out anyway.

  • Purchase Orders
    • New! Auto PO Receiving feature: Use the new PO Receiving Run OCR feature to upload a picture of your packing slip, have the portal extract text from the image, and use AI to automatically fill the Receiving # and Remaining Units fields.

      Here's how it works:

      1. Go to PO Receiving and find your purchase order.
      2. Take a picture of your packing slip and save it to your device.
      3. Select Run OCR and choose your packing slip file. Vista Web uses AI Optical Character Recognition (OCR) to read the packing slip and extract data.
      4. When this process completes, you will see a bell notification. The Receiving # and Received units are automatically populated on the purchase order. You can edit the fields as needed.

For more details about Auto PO Receiving, see Receive a Purchase Order.

    • New PO Receiving message indicates when a PO is already in a batch: In PO Receiving, when a PO is already in another Vista batch (such as AP Entry, PO Entry, PO Receiving, or PO Close), the portal now indicates this and lists information about the batch source, AP Company, month, and batch ID.

To prevent duplicate entries, the PO Receiving form is read-only, and the submit button will be locked. When you submit a PO, the portal now checks for duplicate batches and stops and reports current batch information if there is any.

    • ECM column added to PO Receiving lines: The ECM column displays as read-only next to the Unit Cost, providing visibility on the factor that the unit cost is multiplied by. This reflects how the costs display in Vista.

  • Timecards
    • New! Updates to group clock in & out:
      • Simplified group clock-in process: Users no longer need to create employee timecard lines before clocking in a group of employees. Employees are now automatically added to the timecard when they clock out. For details, see Enter Clock-In Clock-Out Time on a Grid Timecard.
      • Redesigned interface: The Group Clock In/Out window is now easier to use with separate Clock In and Clock Out tabs.

Financial Controls Highlights

The following enhancements and customer suggestions were added in this release.

  • Job Billing
    • Item Bill Group now filters by contract: When creating a new bill from the Job Billing Dashboard, the Item Bill Group dropdown now only displays bill groups associated with the selected contract you are billing. This prevents users from choosing incorrect bill groups. If no contract is selected, the Item Bill Group field is not editable.

Vista Field Service Highlights

The following enhancements and customer suggestions were added in this release.

  • Work Orders
    • Closed trips with no open scopes cannot be modified: Technicians can no longer change the status of a closed work order trip if there are no open scopes on the work order. If a technician attempts to change the status, a message indicates that there are no open scopes and that they should reach out to their admin to re-open the work order trip. This prevents accidental status changes and updates the Vista Web portal behavior to match Vista.

    • New portal setting specifies the number of items in Work Order dropdown fields: In the new portal setting Work Completed Item Dropdown Maximum Result, enter a number between 20 (default) and 200 to specify the number of items displayed in the Standard Item, Equipment, and Material dropdown fields when adding Work Completed on a Work Order.

This setting allows technicians to view a longer list of results and select the correct standard item, equipment, or material. For more details, see Configure Field Service Portal Settings.
Tip: This setting applies when you are online or offline, but it can cause performance issues in offline mode if you increase it past the default of 20.

Setting location: Admin > Portal Settings > Field Service > Work Complete

General Changes

General changes affect portal administration or multiple modules in the web portal.

  • Filter and cancel unsent emails in the Mail Log: If you have emails that are pending and have not yet been sent, you can now select them in the Mail Log and choose Action > Cancel Selected.

These emails will not send and will show a canceled icon.

For more details about the Mail Log, see View Emails and SMS Messages Sent from the Portal.

Vista Web Office Tools

The following enhancements and customer suggestions were added in this release.

  • Editing capabilities added to more forms in Office Tools: In this release, if you have the correct permissions in Vista Web and in Vista, you can now add new form entries, edit data on existing entries, and delete entries on the following forms in Office Tools:
    Headquarters
    HQ Compliance Codes
    HQ Earn Types
    HQ Frequency Codes
    HQ Groups
    HQ Hold Codes
    HQ Insurance Codes
    HQ Liability Types
    HQ Reason Codes
    HQ Standard Note
    HQ Units of Measure

Any changes made to the form on the web portal automatically update the same form in Vista. For more information, see Update Vista Forms on the Web.

To see a list of the current Vista forms in the Vista Web portal, see Vista Forms Available in Office Tools.
