Release Highlights

This release includes the following new enhancements. For more details, see the individual release highlights sections that follow.

Setting location: Admin > Portal Settings > Expense > Advanced Configuration

  • Users can now import PO details from a .CSV file when creating a new PO Requisition. To do so, download the standard import template directly from the Import PO Lines dropdown on the New PO Requisition page. Populate the template accordingly, then select Import PO Lines from CSV.
Note: This feature currently supports Job Lines only and excludes UD fields.
  • Users can now email PDF copies of a field tickets when submitting it. For instructions, see Create and Edit a Field Ticket.

Trimble ID Updates for Vista Web

Review changes related to Trimble ID setup and logins in the web portal.

  • A new report is available for administrators that categorizes all Native Trimble ID, Managed Trimble ID, and Non-Trimble ID Users within your company. To access it, go to Admin > User Access then select Export TID Status Report.

  • The Trimble ID linking logic now supports the new Work Email field in Vista. This allows companies to maintain an employee’s personal email in their HR records while using a professional work email for Vista Web access and authentication.
Note: Work Email fields will be available in a future release of Vista, R26.3. You must update to that version to take advantage of this feature.
  • Starting on March 31st, two-step verification (2SV) will be enforced for all Native Trimble ID users. Please ensure you have access to your primary email, as this is where you’ll receive your one-time passcodes.

2SV will not be added to your account if any of the following is true:

    • You are a Managed Trimble ID user.
    • You sign in via your organization's single sign-on (SSO or Federated ID).
    • You have already configured your own 2SV (for example, a passkey or authenticator app).

For information about verification methods, see How to Secure Your Trimble ID Account in the Trimble ID help.

HR Management Highlights

The following enhancements and customer suggestions were added in this release.

    • A new option is available in the Input settings per Benefit Type setting, which allows you to require users to add a note when confirming benefits coverage.

Setting location: Admin > Portal Settings > Benefits > Benefit Code Configuration

  • Expenses
    • A new Enabled Vista UD Fields for Expense Items setting defines custom fields that appear directly on the expense item entry screen. You can decide which UD field shows depending on if you post to AP or Payroll.

Setting location: Admin > Portal Settings > Expense > Advanced Configuration

Note: This only applies to UD items on the Item level, not the Header.
    • A new Disable Expense Quick Add setting prevents users from seeing the quick add buttons in the navigation bar and Expense module. When disabled, users will not be able to use the Auto Expenses feature.

Setting location: Admin > Portal Settings > Expense > General Configuration

  • Onboarding
    • A new Restrict Initialize if I-9 and W-4 are not complete setting can be toggled to prevent Onboarding Admins from intializing new hires or rehires unless the the I-9 and W-4 are complete and submitted by both Onboardee and Admin.

Setting location: Admin > Portal Settings > Onboarding/ ATS > General Configuration

    • The Driving Info section of a new hire's Onboarding Profile now displays the hire's uploaded driver's license for easier verification.
    • A new License Type Combo Box from Vista setting makes License Type a searchable dropdown populated from VA Custom Field Combo Boxes. Creates a Combo Box in Vista with each license type option. This prevents inconsistencies like CDL vs. Commercial being synced to the Vista HR Resource. If this setting is not populated, License Type will be a fully editable text field.

Setting location: Admin > Portal Settings > Onboarding/ ATS > ATS

    • The Profile dropdown in the Send Onboarding Invitation window is now alphabetized and searchable.
  • Personal Information

Field Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Users can now email PDF copies of a field ticket when submitting it. The search bar automatically displays all Vista Web users with an email, plus any emails previously added with the Add External Email Address field. If a recipient is not already in the system, enter their email into the Add External Email Address field then select Add Email.
  • Printed field ticket reports now show all earncodes. New earncodes appear in the Other Hours section, which accumulates from earncodes where True Earning for Payroll Reports is checked and the method is Factored Rate per Hour or Rate per Hour, and where the factor has a value other than 1, 1.5, or 2.

  • The Equipment Dashboard page now has an Operator column, so you can view the name and employee number of the employee associated with the piece of equipment in Vista.

Financial Controls Highlights

The following enhancements and customer suggestions were added in this release.

  • Users can now import PO details from a .CSV file when creating a new PO Requisition. To do so, download the standard import template directly from the Import PO Lines dropdown on the New PO Requisition page. Populate the template accordingly, then select Import PO Lines from CSV.

  • A new Email PO to Vendor option has been added in the PO Dashboard. Select this option under the More menu to email a copy of the PO to the email address associated with the Vendor in Vista.
  • A new Show Hold Code on AP Invoice grid allows users to view and filter by Hold Codes directly within the AP Invoice Review grid. This enhancement allows for better tracking of invoices that are intentionally delayed, such as waiting for work completion, without relying on external notes.

Setting location: Admin > Portal Settings > AP Review > Invoice Grid

  • In AP Invoice Review, a visual warning now appears when you review a PO item where the Invoiced Units exceeded the Received Units.

Vista Field Service Highlights

The following enhancements and customer suggestions were added in this release.

  • The Work Order Complete Trip Summary now displays customer and site information at the top of the page. This prevents users from having to back up to a previous page to acquire this information.

  • A new Lock SM Timecard lines when SM Trip is Completed setting makes timecard lines created in Vista Field Service read-only once the associated trip is completed. Timecard lines created manually within the standard timecard are not affected by this setting.

Setting location: Admin > Portal Settings > Timecard > Advanced Configuration

The following enhancements and customer suggestions were added in this release.

  • If you have the correct permissions in Vista Web and in Vista, you can now add new form entries, edit data on existing entries, and delete entries on the following forms in Office Tools:
