Set Up Clock-Ins

Use the clock-in system to capture employee time punches in real-time as they start and stop their work each day.

Traqspera's time entry features are highly customizable to support a wide variety of workflows. The alternative time entry method, employee timesheets, is more structured in comparison. For more information, see Set Up Employee Timesheets.

A critical component of your time entry setup is the type of device used for punches. Traqspera supports three primary workflows for employee clock-ins:

  • Each employee's personal device
  • A shared device via pinpad
  • A dedicated kiosk device

Each setup has different advantages, disadvantages, and requirements. Generally, only one workflow needs to be implemented per company.

Each employee's personal device

This method allows each employee to clock in and out using the Traqspera Timesheet app (for Android or iOS) or a web browser on their own smartphone or computer.

This is the most flexible and customizable method, but choosing the right setup is crucial for maintaining data accuracy. These are the two common workflows.

  • Clock-ins without timesheet edits: This is the reccommended workflow. Employees can record their own time punches, but any corrections or edits must be made by a supervisor. This workflow ensures oversight and allows you to verify via GPS whether an employee clocks in from a specific job site.
  • Clock-ins with timesheet edits: Employees can record their own labor entries and are also permitted to edit their own timesheets to correct errors or missed punches.

A shared device via pinpad

This method enables employees to log time punches by entering a pincode into a shared device via the Traqspera Timesheets app. Using this method, the shared device only needs to be signed into a single account, typically a supervisor or a generic pinpad user. A separate account is required for each pinpad location.

Note: When using this method, generic pinpad users are not reccommended for systems that require Trimble ID, as you must create and regularly validate a unique Trimble ID for each generic pinpad user.

A dedicated timeclock device

This method enables employees to enter time into a dedicated universal device signed into a generic Timeclock User account. Unlike other time entry methods, this configuration uses the Traqspera Timeclock app, which is only available for Android. This method is commonly used with PIN/passcode sign ins or NFC badge sign ins.
