Trimble Connect Data Retention Standards and Procedures

Purpose

These data retention standards and procedures establish how Trimble (“we,” “our,” or “us”) retains, manages, and securely disposes of customer data collected through Trimble Connect in compliance with applicable data protection, contractual, and operational requirements.

These standards apply to all users, including trial users, across all subscription plans, ensuring consistency, transparency, and accountability in how Trimble manages customer-generated content within Trimble Connect.

Data Retention Standards and Procedures

Scenarios

There are two scenarios in which customer data is deleted:
  • Active deletion: The customer has an active subscription and a user or administrator deletes data.
  • Passive deletion: The customer's subscription ends.

Active Deletion

Trimble Connect allows for Users or Project Administrators to delete projects, files, folders, and other data types. The ability to delete a project is a specific privilege granted to Project Administrators alone. The ability to delete files, folders and other data types is determined by a user's role within the project and the specific permissions assigned to those items. Please look at our product documentation to understand how permissions are assigned. Once the retention period for any actively deleted data has elapsed, Trimble has no obligation to retain your data.

Passive Deletion

An active subscription for Trimble Connect includes the following:
  • Subscription to Trimble Connect purchased as a standalone product
  • Subscription to a Trimble product that is bundled with Trimble Connect
  • Subscription to a Trimble Construction One bundled solution that includes Trimble Connect

During the term of an active subscription, a customer can access, extract, or delete data stored in Trimble Connect. If all paid Trimble Connect subscriptions under an account end or are terminated, Trimble retains project and account data stored in Trimble Connect for 90 days, allowing the customer to extract the data. After the retention period ends, Trimble has no obligation to retain customer data. No more than 90 days after expiration or termination of a subscription to Trimble Connect, all project and account data may be deleted.

Trimble Connect Data Retention Periods

For both deletion scenarios, the following table shows the data retention periods by Trimble Connect project context data type. The ability to actively delete a project is a specific privilege granted to Project Administrators alone. The ability to actively delete files, folders, and other data types is determined by a user's role within the project and the specific permissions assigned to those items.

  1. The data type is deleted immediately without the possibility for the user to undo the deletion.
  2. Actively deleted files and folders can be recovered by the admin user during the project lifetime. The project’s lifetime starts when it is created and ends when it is deleted actively or passively.
  3. Only draft Releases can be deleted. After a release reaches the Sent status, it will no longer be possible to delete it individually.
  4. Data stored in the extensions is not in the scope of the Trimble Connect data retention standards and procedures. Contact the extension developer to learn about the data retention of a specific extension.
  5. Actively deleted shared object models can be recovered by Trimble upon request during the project lifetime. A project's lifetime starts when it is created and ends upon active or passive deletion.
  6. The Trimble Reality Capture Platform Service is a separate product and it defines its own storage and retention standards and procedures. Please refer to the Trimble Reality Capture Platform Service documentation resources.

Once the retention period for any data type has elapsed, Trimble has no obligation to retain your data.

Exceeding Storage Limits

If you exceed your Trimble Connect cloud storage limit, (see Trimble Connect Storage Limits) all projects owned by your account may become frozen. Only data deletion may be allowed until your used storage amount returns under the limit.

If you exceed your Trimble Connect storage quota, some Trimble Connect services may stop working;
  • You (and users in your projects) may not be able to upload, edit, or sync new files to any of your projects. Your existing files will remain but may be read-only.
  • You (and users in your projects) may not be able to create or edit any other project or account data. Your existing data will remain, but may be read-only.

Customers with Multiple Accounts

If a customer has multiple accounts with Trimble, they are responsible for transferring project data (or requesting that Trimble transfer it) to their preferred account, which must hold an active subscription to Trimble Connect. Failure to do so will result in data being passively deleted if any of the accounts do not have an active subscription to Trimble Connect.

Trial Subscriptions

For a free trial, customer data moves into a grace status for 30 days in most countries and regions. During this grace period, customers may purchase a subscription to Trimble Connect. If a customer decides not to buy a subscription to Trimble Connect, the customer can either cancel the free trial or let the grace period expire. Once the grace period has expired, Trimble has no obligation to retain the data created during the trial period.

Data may be retained beyond the specified periods if required by law, regulation, or as part of ongoing legal proceedings. In such cases, data may be retained for the duration required by the applicable legal obligation.

Data subject to a legal hold will be retained until the hold is released.

Data Deletion Process

Automated Deletion
Data may be automatically deleted according to the retention periods outlined above.
Manual Deletion
Customers can request for data to be manually deleted by contacting connect-support@trimble.com. Trimble will use reasonable efforts to process a request, subject to legal obligations.
Backup Data
Deleted data may persist in backups for up to 90 days.

User Responsibilities

Users are encouraged to regularly export and back up project data to avoid data loss.

Changes to These Standards and Procedures

We may update these standards and procedures from time to time to reflect changes in legal, regulatory, or operational requirements.
