Creating a Replacement Check

Follow this procedure to reissue a lost check or auto deposit without having to enter a new check.

You will need to know the original check/auto deposit number before you begin.

Spectrum is set up to prevent auto-deposit checks from being voided because these items cannot be canceled at the bank. However, if the data has not been sent to the bank, the transaction can still be reversed using a replacement check.

  1. On the Site Map, click Payroll > Data Entry > Replacement Check. The Replacement Check Entry screen displays.
  2. Enter the Employee code and Original check number. The software will validate that the check has not already been cashed or voided.
  3. Enter the appropriate Batch code and Check date.
  4. After the replacement check fields have been recorded, the Preview button will be enabled on the toolbar (on the right of the screen).
  5. Click the Preview button to view the new check number and set your print options. You must print the replacement check before it can be transferred to Pre-Time Card Entry.
  6. Transfer the replacement check and voided check/auto deposit to Pre-Time Card Entry.
    Note: The replacement check and the voided check/auto deposit will not post until it has been transferred to Time Card Entry.

    If you use Cash Management and you need to void an auto deposit check, please contact Viewpoint Support by visiting the Viewpoint Customer Portal. You will also need to contact your bank and find out how they prefer you to handle this.
