Adding a New Trigger

Create software triggers to automate specific actions in Human Resources, such as warnings, email notifications, and updates to data fields.

Spectrum's Add Trigger Wizard window guides you through the process of setting up the trigger and its parameters. See Creating Triggers for details on trigger types, actions, and examples.
  1. On the Site Map screen, click Human Resources > Maintenance > Triggers.

    For field descriptions, see Triggers Maintenance.

  2. On the Triggers Maintenance screen, click the New button.
    The system will open the New Trigger window and will automatically begin the wizard by displaying the Tracking Item window.
  3. Highlight the item you want to track (in this example, Driver's license) and click OK.
  4. In the Values section of the screen, the software will display your selection. In our example, the software displays the What item would you like to track prompt. The prompts that display in this section will vary depending on the type of trigger you have selected. Press Enter to accept your selection.
    The software will display the Select Trigger window.
  5. Highlight the trigger you want and click OK.
  6. In the Values section of the screen, the software will display your selection in the What event should activate this trigger field. Press Enter to accept your selection.
    The software will display the Select Action window.
  7. Highlight the action you want and click OK.
  8. In the Values section of the screen, the software will display your selection as a field, for example, What action should take place on trigger. Press Enter to accept your selection.
    Note: More than one field may display depending on the trigger you selected in step 4.
    The system will display the What value field.
  9. Type the trigger's value, and press Enter.
    Note: The value you enter will display in the Description field once you press Enter.
  10. In the Values section of the screen, select whether the trigger applies to All employees or Employees of a specific supervisor, and press Enter. Your selection will display in the Description field.
    Note: If you select the latter option, you must enter a supervisor code in the Supervisor field that displays. Press F4 to search for a supervisor code, if necessary.
  11. If you want this trigger to expire at a certain point in time, in the Values section of the screen, select the Discontinue use of this trigger on a specified date checkbox. If you do not want to apply an expiration date to this trigger, leave this checkbox clear. Press Enter.
  12. If you select to apply an expiration date, enter this date in the Expiration date field.
    Note: The expiration date you enter will display in the Description field.
  13. At the Warning message field, type the warning message you want to display when the trigger is activated, for example, "Driver's License has expired" and press Enter.
  14. The system will display the Options window prompting you to Save and exit, Save and add next, Edit current, or Cancel. Make your selection to complete the Add Triggers Wizard. Your new trigger will display in the Triggers Maintenance screen.
