Assign Time Off Permissions

Configure permissions that allow employees to make time off requests and give supervisors the ability to approve those requests.

  1. Select Settings > System Permissions.
  2. In the Permissions section on the left side of the page, select Time Off Requests.
  3. At the top of the page, select a Role.
  4. In the General section, select the checkbox for each permission to assign to the selected role:
    • Can Approve All PTO / Time Off Requests: Allows this role to approve all time off requests.

      This permission supersedes the Can Only Approve Assigned PTO / Time Off Requests permission.

      You must enable this permission for your time off approvers if you allow employees select their approver when submitting a time off request (in Time Off Setup the Request Approval Method is set to Assigned Supervisor Approval).

    • View All Time Off: Allows this role to view all time off requests without seeing specific request details or time off balances.

      This can be useful for approvers who need to see other requests they are not authorized to approve, and for employees to see who else has requested time off on the same days.

    • Can Only Approve Assigned PTO / Time Off Requests: Allows this role to approve time off requests for all employees they are assigned to as an approver.

      You must enable this permission for your supervisors if you configured time off requests to be sent for supervisor approval automatically (in Time Off Setup, the Request Approval Method is set to Assigned Supervisor Approval).

    • Can Approve Your Own PTO / Time Off Requests: Allows this role to approve their own time off requests.

    • Can Request PTO Entries: Allows this role to create and submit time off requests.

      You must enable this permission for users who should be able to submit time off requests. Users with this permission will see the Time Off Requests option on their Employees menu.

    • Can Request Others PTO Entries: Allows this role to create and submit time off requests for other employees.

      Users with this permission will see a list of employees to choose from when requesting time off.

    • Can Edit PTO Balances: Not recommended. Allows this role to edit time off balances manually for employees.

      Important: We advise that you leave this setting off to ensure that time off balances are managed solely by the sync with Spectrum.
  5. If you allow employees to select the department, job, and phase when submitting a time off request (in Time Off Setup, the Time Off Request Mode is set to Manual Select), you must assign users either the view jobs or edit timesheets permission for them to access the Phase field when submitting a time off request:
    • To enable the view jobs permission, under Permissions > Job > Access / Visibility, select the View checkbox for Jobs.

    • To enable the edit timesheets permission, under Permissions > Timesheets > Access / Visibility, select the Edit checkbox for Timesheets (mobile timesheets), Timesheets on the Web (web timesheets), or both, depending on how your users submit time off requests.
