The Spectrum: Payroll History dataset provides a consolidated source of payroll information. This dataset is intended for the Payroll Manager and the Controller.

Note the following:
  • All Year-to-Date (YTD) measures require a time-period on the report, otherwise the YTD calculation will not occur. The YTD measure will report 0.00 when no time-period has been defined. Adding at least one level from the Check Date Group or the Work Date Group will resolve this.
  • Also, note that YTD measures will include all records up to the time period selected. When a filter is created using a specific date, the year-to-date measure will include all records from January 1st up to that date.
  • When a specific date is desired, use the non-YTD measure instead. YTD measures on a report with both a Check and Work time period will result in filtering errors. Again, use non-YTD measures, or avoid filtering on check or work time.

Note the following for certain fields in the dataset:
  • Date Format: Calendar

  • Cost Centers: Employee level, Check cost center level

The Employee Earnings History fields provide a history of all employee earnings (regular and overtime), FIT, FICA, and other taxes, and can combined with any check date.

The Tax History fields can be used to display wage and tax information for a specified check date. Tax History fields are designed to provide income tax, workers' compensation, SDI/FICA, and unemployment figures. You can also use Tax History to detail earnings subject to each tax and the tax amounts computed, which is useful for federal, county, and local municipalities, as well as single-state operations.

The Time Card History fields provide detailed information about an employee's pay using Time Card History and Check History. Pay types, check numbers, hours, and rates are available.

Employee Earnings History

Commission Earnings

Commission earnings represent wages earned based on a performance metric for the period, including pay type C.

Commission Earnings YTD

Commission earnings, which represent wages earned based on a performance metric for the period, including pay type C, year-to-date.

County Earnings

The amount of county income tax withheld from the employee's paycheck for the period.

County Earnings YTD

The amount of county income tax withheld from the employee's paycheck year-to-date.

Double Earnings

Double time earnings represent wages earned at 2.0 times the standard pay rate, multiplied by hours worked for the period, including pay types D (double time) and ED (equipment double time).

Double Earnings YTD

Double time earnings year-to-date.

Double Hours

Includes all hours worked at 2.0 times the standard pay rate, multiplied by hours worked for the period, including pay types D (double time) and ED (equipment double time).

Double Hours YTD

All double hours year-to-date.

FIT Witheld

The amount of federal income tax withheld from the employee's paycheck for the period.

Gross Earnings

Includes all earnings derived from regular, overtime, double time, vacation, holiday, sick special earnings, special amounts, other 1, other 2 ,other 3 and commissions for the period, including pay types R, O, D, V, H, S, SR, SA, 1, 2, 3 and C.

Gross Earnings YTD

Includes all earnings derived from regular, overtime, double time, vacation, holiday, sick special earnings, special amounts, other 1, other 2 ,other 3 and commissions year-to-date, including pay types R, O, D, V, H, S, SR, SA, 1, 2, 3 and C.

Holiday Earnings

Represents wages earned by the employee taking holiday time off for the period. Typically calculated as hours taken multiplied by standard pay rate, including pay type H (holiday).

Holiday Earnings YTD

Represents wages earned by the employee taking holiday time off year-to-date. Typically calculated as hours taken multiplied by standard pay rate, including pay type H (holiday).

Local

The amount of Local income tax withheld from the employee's paycheck for the period.

Local YTD

The amount of Local income tax withheld from the employee's paycheck year-to-date.

Medicare Witheld

The amount of Medicare taxes withheld from the employee's paycheck for the period.

Medicare Witheld YTD

The amount of Medicare tax withheld from the employee's paycheck year-to-date.

Net Pay

This is gross pay plus add-ons, minus taxes and deductions for the period.

Net Pay YTD

This is gross pay plus add-ons, minus taxes and deductions, year-to-date.

Other Earnings 1

Other Earnings 1 represents wages calculated as a lump sum for the period, including pay type 1.

Other Earnings 1 YTD

Other Earnings 1 represents wages calculated as a lump sum year-to-date, including pay type 1.

Other Earnings 2

Other Earnings 2 represents wages calculated as a lump sum for the period, including pay type 2.

Overtime Earnings

Overtime Earnings represents those wages earned at 1.5 times the standard pay rate, multiplied by hours worked for the period, including pay types O (overtime) and EO (equipment overtime).

Overtime Earnings represents those wages earned at 1.5 times the standard pay rate, multiplied by hours worked year-to-date, including pay types O (overtime) and EO (equipment overtime).

Overtime Hours

Includes all hours worked at 1.5 times the standard pay rate, multiplied by hours worked for the period, including pay types O (overtime) and EO (equipment overtime).

Regular Earnings

Regular Earnings represents those wages earned at the standard pay rate, multiplied by hours worked for the period, including pay types R (regular) and ER (equipment regular).

Includes all hours worked at the employee's standard rate of pay year-to-date, including pay types R (regular) and ER (equipment regular).

Resident SDI

The amount of State/Provincial disability insurance withheld from the employee's paycheck for the period, based on the employee's resident state.

Sick Earnings

Represents wages earned by the employee taking sick time for the period, typically calculated as hours taken, multiplied by standard pay rate, including pay type S (sick).

Sick Earnings YTD

Represents wages earned by the employee taking sick time year-to-date, typically calculated as hours taken, multiplied by standard pay rate, including pay type S (sick).

Sick Hours

Represents hours taken off for sick time for the period, including pay type S (sick).

Sick Hours YTD

Social Security Witholding

The amount of Social Security taxes withheld from the employee's paycheck for the period.

Special Amounts

Special Amounts represents wages calculated as a lump sum for the period, including pay type SA (special amount).

Special Amounts YTD

Special Earnings

Special Earnings represents wages earned using the employee's special pay rate, multiplied by hours worked for the period, including pay type SR (special rate).

Represents hours worked at the special pay rate for the period, including pay type SR (special rate)

Special Earnings Hours YTD

Represents hours worked at the special pay rate year-to-date, including pay type SR (special rate)

Special Earnings YTD

Special Earnings represents wages earned using the employee's special pay rate, multiplied by hours worked year-to-date, including pay type SR (special rate).

Total Add-Ons

The sum of all add-ons paid to the employee on the paycheck for the period.

Total Add-Ons YTD

The sum of all add-ons paid to the employee on the paycheck year-to-date.

Total Benefits

The sum of all add-ons accrued and not paid to the employee on the paycheck for the period.

Total Deductions

The sum of all deductions for the period.

Total Deductions YTD

The sum of all deductions year-to-date.

Vacation Earnings

Represents wages earned by the employee taking vacation time off for the period, typically calculated as hours taken multiplied by standard pay rate, including pay type V (vacation).

Vacation Earnings YTD

Represents wages earned by the employee taking vacation time off year-to-date, typically calculated as hours taken multiplied by standard pay rate, including pay type V (vacation).

Vacation Hours

Represents hours taken for vacation time off for the period, including pay type V (vacation).

Vacation Hours YTD

Represents hours taken for vacation time off year-to-date, including pay type V (vacation).

Work SDI

The amount of State/Provincial disability insurance withheld from the employee's paycheck for the period, based on the state/province the employee worked in.

Work SIT

The amount of State/Provincial income tax withheld from the employee's paycheck for the period, based on the state/province the employee worked in.

Tax History

FICA/SDI - Employee

The amount of FICA/SDI withheld from the employee's paycheck for the period.

FICA/SDI - Employee YTD

The amount of FICA/SDI withheld from the employee's paycheck for the calendar year.

FICA/SDI - Employer

The amount of FICA/SDI paid by the employer for the period.

FICA/SDI - Employer YTD

The amount of FICA/SDI paid by the employer for the calendar year.

FICA/SDI - Employee Subject To

Gross pay less any exempt wages represent the amount of earnings that are subject to FICA/SDI taxation for the period.

FICA/SDI - Employee Subject To YTD

Gross pay less any exempt wages represent the amount of earnings that are subject to FICA/SDI taxation for the calendar year.

FICA/SDI - Employer Subject To

Gross pay less any exempt wages represent the amount of earnings that are subject to employer paid FICA/SDI taxation for the period.

FICA/SDI - Employer Subject To YTD

Gross pay less any exempt wages represent the amount of earnings that are subject to employer paid FICA/SDI taxation for the calendar year.

Income Tax

The amount of income tax withheld from the employee's paycheck for the period.

Income Tax Subject To

Gross pay less any exempt wages represent the amount of earnings that are subject to income taxation for the period.

Income Tax Subject To YTD

Gross pay less any exempt wages represent the amount of earnings that are subject to income taxation for the calendar year.

Income Tax YTD

The amount of income tax withheld from the employee's paycheck for the calendar year.

Unemployment Subject To

Gross pay less any exempt wages represent the amount of earnings that are subject to unemployment taxation for the period.

Unemployment Subject To YTD

Gross pay less any exempt wages represent the amount of earnings that are subject to unemployment taxation for the calendar year.

Unemployment Tax

The amount of unemployment tax paid by the emploter for the period.

Unemployment Tax YTD

The amount of unemployment tax paid by the emploter for the calendar year.

Workers Comp - Employee

The amount of worker's comp withheld from the employee's paycheck for the period.

Workers Comp - Employee YTD

The amount of worker's comp withheld from the employee's paycheck for the calendar year.

Workers Comp - Employer

The amount of worker's comp paid by the employer for the period.

Workers Comp - Employer YTD

The amount of worker's comp paid by the employer for the calendar year.

Time Card History

Burden

This is the amount of burden calculated on direct cost time cards (job cost, equipment, and work order) for the period.

Burden YTD
This is the amount of burden calculated on direct cost time cards (job cost, equipment, and work order) for the calendar year. Year to Date (YTD) measures require a time-period on the report; otherwise, the YTD calculation will not occur.

This is the gross wages that the employee earned for the period.

Employee Rate

When used in conjunction with an individual time card record, this is the rate per hour that was paid to the employee.

Important: When used with more than one record, this value represents the sum of the pay rates included. For example, assume the first record has $20 per hour and the second row has $25 per hour. When one of the transactions is a void record, the rate per hour will be a positive number. Using the above example, when one is a void record, the rate per hour will still be $45 per hour.
Equipment Billing Extension

This is the amount the equipment billed for the period.

Check Date Group

Check Date

The check day comes from the date typed on the check and typically determines the tax liability date. The time card record is part of the check issued on this date.

Check Month

The check month comes from the date typed on the check and typically determines the tax liability date. The time card record is part of the check issued on this date.

Check Week

The check week comes from the date typed on the check and typically determines the tax liability date. The time card record is part of the check issued on this date.

Check Year

The check year comes from the date typed on the check and typically determines the tax liability date. The time card record is part of the check issued on this date.

Check Number

The check number assigned to the time card records.

Check Type

Includes Auto Deposit, Manual, Regular, and Void types.

Cost Category

Cost Category Code

Cost Category Codes are used to group similar equipment costs together. Each cost category code will be assigned to a cost category type for further summarization of data.

A description of the Cost Category Code.

County Tax Jurisdictions

County Tax

The county tax code on the time card record.

County Tax Description

A description of the County Tax.

Department

Department

The payroll department assigned to the time card record. Useful to sort time card lines by similar types of work. This also controls chargin to the G/L.

Department Company

This represents the specific Spectrum Company or Spectrum Group of Entities where the department is set up and managed. This also controls charging to the specific company's G/L.

Department Description

A description of the Department.

Employee

Default Department

The default payroll department assigned to the time card record. Note that it's useful to sort time card lines by similar types of work. The department also controls charging to the GL.

Default Pay Level

The pay level in combination with the wage code/union code derive the employee pay rate.

Default Union

This code represents a union or a group of employee benefits.

Default Wage Code

This code represents the wage classification or type of work the employee performed.

Default Workers Comp

Worker's comp code on the time record.

EEO Classification

This code represents the EEO classification of the employee.

Employee Code

This code is used to identify the employee.

Employee Cost Center

This represents the cost center, profit center, or some other way to group the organization.

Employee Status

The description of the status code. Includes active, inactive, terminated, and deceased.

First Name

First name of the employee.

Full Name

Full name of the employee.

Last Name

Last name of the employee.

Location

Location of the employee.

Middle Name

Middle name of the employee.

Occupation

Occupation of the employee.

Payroll Company

This represents the specific Spectrum company or Spectrum group of entities where payroll is processed.

Status Type

This code represents the employee status type.

Title

This represents the job title of the employee.

Trade

This represents the employee's trade.

Work Classification

This code represents the work classification of the employee.

Equipment

Equipment

This code represents a specific piece of heavy equipment.

Equipment Company

This represents the specific spectrum Company or Spectrum Group of Entities where the equipment is set up and managed.

A description of the Equipment.

Job

Certified Flag

This code represents the certified flag for the employee.

Cost Type

The lowest level of work managed on a project.

Job

This code is used to identify the job.

Job Comment

Any comments or notes on the Job.

Job Company

This represents the specific Spectrum Company or Spectrum Group of Entities where the job is set up and managed.

Phase

This may be thought of as a way to break the job into smaller parts. Other names include Work Breakdown Structure (WSB) codes, Construction Specifications Institute (CSI) codes, or cost codes.

This the union craft of the employee.
