Issue a Deductive Change Order at Contract Close-out

As long as the contract's balance-to-finish value is higher than the amount of the deductive change order, you can use it to reduce the amount you will pay to close out the contract.

A deductive change order must be issued before the final retainage amount has been released, and its amount cannot exceed the contract's balance to finish value.
To issue a deductive change order:
  1. From your Dashboard, select the project and then select the applicable contract.
  2. In the Overview pane, select Manage change orders.
  3. Select Create change order +.
    The New change order window opens.
  4. Complete the fields accordingly.
  5. Select Deduct.
    Trimble Pay validates that the Change order value does not exceed the Balance to finish (including retainage) value on the contract.
  6. If you want to break out the change order into multiple line items in the contract's Schedule of Values:
    1. Select View and edit break out.
      A new window opens.
    2. Enter a description and an amount, and specify the amount is an addition.
    3. Select + Add row and repeat step b.
    4. When all SOV line items are accurately represented, select Save.
      You are returned to the prior window.
  7. Select Create change order.
    Trimble Pay creates a new line item in the contract's schedule of values.
Trimble Pay sends a notification to the Subcontractor's Project POC.
  1. The subcontractor will need to submit an Invoice against the deduct line item creating a credit invoice, that is, a negative dollar invoice.
  2. After you have approved the negative invoice, you will be able to release all retainage held to date.
  3. The subcontractor will submit their final retainage invoice which will in turn close out the contract.
