Release Retainage

Release a contract's retainage amount so the subcontractor can bill the general contractor for it.

  1. The general contractor can release retainage before a contract reaches 100% completion, but this is not a common practice.
  2. When the subcontractor bills out the contract to 100% completion, Trimble Pay automatically updates the contract status to Retainage Pending Release.
  3. Once the general contractor releases the retainage, the subcontractor can bill for that amount.
Note: Retainage is always billed separately.

Subcontractors cannot bill for both progress and retainage on the same invoice.

To release some or all of the retainage:

  1. From your Dashboard, select the project and then double-click the applicable contract.
  2. Among the tabs at the top of the screen, select Retainage.
  3. On the right-hand side of the screen, select Release retainage.
    By default, the entire retainage value (100%) is designated for release.
  4. To release something less than 100% of the retainage, choose one:
    • Apply the same percentage across all items by entering a value and selecting Apply.
    • Adjust the amount of retainage you would like to release on each line item.
  5. Select Confirm release.
Trimble Pay takes these actions:
  1. Changes the contract status to Retainage Pending Submission
  2. Sends an email notification to the subcontractor that they can now invoice for the retainage amount you released.
  3. Prepares the subcontractor's retainage invoice for them, so all they need to do is select Sign and submit retainage and follow the normal billing steps. This triggers an email to your team notifying you that a retainage invoice is awaiting your review.
Once your team receives the email, review the retainage invoice and approve or decline it.
