How Time Off Balances are Calculated

The Time Off Hours Balance tab on your employee profile shows your balances for vacation, holiday, and sick time.

These balances reflect hours tracked in your Time Off Bank in Spectrum and time off requests submitted in Traqspera. You will also see an estimated remaining balance. This balance is calculated based on vacation, holiday, and sick time tracked in both Spectrum and Traqspera.

If your organization allows you to submit requests for time off that are not related to vacation, holiday, or sick time (for example, unpaid time off), that time is not included in any of the estimated time remaining calculations.

Tip: Your organization may use different labels for vacation, holiday, and sick time on the Time Off Requests page. Please contact your administrator if you have questions about your organization's time off types.

The following tables describes time off balances for vacation, sick, and holiday time and how they are calculated.

Vacation Time Balances

These balances are pulled from your Time Off Bank in Spectrum.

In Spectrum, available time and maximum accrual time for vacation calculate based on the time off code assigned to your employee record.

Time off codes determine the accrual method, rate, limit, and eligibility for each time off type.
Vacation UsedThis balance is pulled from your Time Off Bank in Spectrum and reflects the year-to-date vacation time recorded on your pay stubs.
Vacation - Pending ApprovalVacation time that was requested but not yet approved in Traqspera.
Vacation - Approved Not TakenVacation time that was approved in Traqspera but that has not yet been exported to Spectrum.

You may have already taken the approved time, but the days are not reflected on your pay stubs.
Estimated Vacation RemainingYour available vacation hours minus time that is pending approval and time approved but not yet taken:

Estimated Vacation Remaining = [Vacation Available Balance - (Vacation - Pending Approval + Vacation - Approved Not Taken)]

For example, if you have 15 days of vacation available, and you just requested 5 days off using Traqspera, your estimated remaining balance is:

15 - (5 + 0) = 10

If you have 15 days of vacation available and took 2 approved days off last week, but those days have not yet been exported to Spectrum, your estimated remaining balance is:

15 - (0 + 2) = 13

Sick Time Balances

For example, if you have 5 days of sick time available, and you just requested 1 sick day using Traqspera, your estimated remaining balance is:

5 - (1 + 0) = 4

If you have 5 days of sick time available and took 2 approved sick days last week, but those days have not yet been exported to Spectrum, your estimated remaining balance is:

5 - (0 + 2) = 3
