Set Up Reviewers in Vista

Set up reviewers and reviewer groups to approve timecards, invoices, and jobs in the portal. Create reviewers in Vista HQ Reviewers and groups in Vista HQ Reviewer Groups.

Note: For the pending PO / subcontract review process: You do not create reviewers with the steps outlined here. Instead, Define Reviewer Roles in Vista HQ Roles.

To set up a reviewer, use Vista to create the user and to assign that user the correct reviewer or reviewer group. To create a user in Vista, see Create a VA User Profile for a Vista Web User.

For users who will access your web portal only and do not need to log in to Vista, you can set up their VA User Profiles to prevent them from using a Vista license. For more details, see Create Vista VA Users for the Web Portal Only.

  1. In Vista, go to Headquarters > Programs > HQ Reviewers.
  2. Create the reviewer, and select the User Names tab.
  3. Add the reviewer's VA User Profile under User Name.


  4. Go to Headquarters > Programs > HQ Reviewer Group.
  5. To create a new reviewer group:
    1. Enter a name in the Reviewer Group field.
    2. Optionally, enter a Description to provide more details about the group.
    3. Make sure the Active checkbox is checked.
    4. In the Responsible Person field, enter the reviewer ID for the person in charge of overseeing the reviewer group.
    5. In Reviewer Group Type, choose one of the options, depending on the type of document this group will review.
      • 1-Invoice: Select this if reviewing AP unapproved invoices or expenses (routing to AP).
      • 2-Timesheet: Select this if reviewing timecards, time off, or expenses (routing to Payroll).
      • 3-Job Billing: Select this if reviewing job billing (progress billing).

  6. To add reviewers to a reviewer group:
    1. Enter the Reviewer Group name.
    2. On the Reviewers tab, add the names of each reviewer you want to include in the group.
    3. You can enter an Approval Sequence number, indicate if a reviewer is an Optional Reviewer, and enable additional settings.


You can use these HQ Reviewers and HQ Reviewer Groups in several review and approval processes throughout various Vista Web modules.
