Vista Web Office Tools

The following enhancements and customer suggestions were added in this release.

  • Editing capabilities now available on AR Customers and HQ Reviewers forms in Office Tools: If you have the correct permissions in Vista Web and in Vista, you can now add new form entries, edit data on existing entries, and delete form entries from Office Tools.

Any changes you make to the form on the web portal automatically update the same form in Vista. For more information, see Update Vista Forms on the Web.

In the 24.12 release, editing capabilities are limited to the AR Customers and HQ Reviewers forms, but future releases will include additional forms. To see a list of the current Vista forms in the Vista Web portal, see Vista Forms Available in Office Tools.

HR Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Action Items

    • New! Improved action items workflow: When you create a new action item template, you can now set up a workflow so that any reviewers (in addition to admins) will be able to finalize the action item.

To set this up, go to Employee Tools > Action Item Templates and either choose an existing template or create a new one. Then select Workflow and enable the following settings on the Action Item Workflow pop-up window: Enable Workflow for this Template?, User Group to Route To, and the new setting Enable workflow reviewers to Finalize Action Item.

In Employee Tools > Action Items, if Enable workflow reviewers to Finalize Action Items has been selected for the template, then a Finalize This Action Item button will display when admins or reviewers open the action item.

For more details, see Set Up Action Item Workflow.

  • Document Library

    • Disable required fields in documents for signature or acknowledgment: You can now disable required fields in fillable PDFs that you set up in the Document Library or Onboarding Documents. If you don't want the fields on a fillable PDF form to be required, select the Disable Required Fields checkbox. When this checkbox is selected, any fields marked as required in the fillable PDF will display as normal fields. The user will be able to submit the form without filling in all fields.

For more details, see Create and Modify a Document for Signature or Acknowledgment.

  • Expenses

    • Improved workflow for creating new expense receipts: When you first create a new expense receipt, after you fill out the header details and select Save, the edit item window automatically opens at the bottom of the page, prompting you to start entering expense item details.

You no longer have to select Edit to add expense items to the new receipt. For details, see Create an Expense Item.

  • Onboarding / ATS

    • Different company logos now display on the external careers page when filtering job requisitions by company: If you set up multiple standard company logos in Vista, your users will now see different logos per company when looking at job requisitions on your external career site.

To set a default logo that will display for all companies, enter the company number of that logo in the portal setting Company number to use for company logo. The logo for this company will show on the careers page as the default when the following are selected: the specific company name, no companies, or Enterprise Wide.

For more information, see Customize Your External Careers Site and Set Up a Standard Company Logo.

    • Complete I-9 Section 2 after a new hire has been initialized to Vista: Admins can now complete the I-9 Step 2 from the Onboarding Employee Details page, and send the updated I-9 attachment to Vista. For details, see Complete the I-9 Section 2 After a New Hire is Initialized to Vista.

To see which new hires have the I-9 Section 2 completed, you can now filter and sort the Onboarding Dashboard grid by the new I-9 Step 2 Completed column, which will has a value of Yes or No for each new hire.

In order to see the I-9 Step 2 completion status of all initialized new hires (including those with attachments pending), select the status of All at the top of the Onboarding Dashboard.

    • Updated I-9 form: Updated the I-9 form to the most recent version from the US Citizenship and Immigration Services. The form itself is the same, the only difference is the updated expiration date in the top right corner.

    • New portal setting: User Group for Onboarding E-Verify Permissions: Use this setting to assign access to the E-Verify options on the Onboarding Employee Details page. Add employees to a group and enter the group name in this setting. Employees must also have permissions to view the Onboarding Employee Details page. For more information, see Configure Onboarding Settings.

Note: If you already have the Fiddletree integration implemented for your portal, when you update to Vista Web version 24.12, the portal will automatically create a user group for this setting that includes Onboarding Admins and users with view or initialize permissions for Hiring Locations. You can edit this group as needed.

Setting location: Admin > Portal Settings > Onboarding / ATS > General Configuration.

  • Performance Reviews

    • Simplify the Performance Review process with the new portal setting: Auto Finalize Performance Review when Manager has completed review: With this setting enabled, performance reviews will automatically finalize once the employee and manager submit their reviews, no longer requiring additional steps to complete or acknowledge.

After this setting is enabled, any reviews waiting to be finalized will be set to In Progress. If employee self reviews have been disabled, only requiring manager completion, the reviews will be set to Finalized, as the employee will no longer need to confirm the review.

Setting location: Admin > Portal Settings > Performance Reviews.

For more information, see Configure Performance Reviews.

  • Timecards

    • Search available in Timecard Dashboard columns: Columns with text or numeric values on the Timecard Dashboard have a search bar where you can enter characters to search. Columns with other values such as check marks or selection menus are not searchable. This functionality matches the search functionality in Vista.

Use an asterisk ( * ) before the text you want to search to filter for values that may not exactly match the values in the column. This only applies to searching alphabetic characters, no numbers or symbols at this time. To clear a search, select the X in the search bar.

    • Improved performance of the timecard report export: When you select either of the Export Submitted Timecards options on the Timecard Dashboard, if there are 50 or more submitted timecards, the report generates in the background. If there are 49 or fewer timecards, the report generates right there on the Timecard Dashboard.

Field Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Checklists

    • New! Improved checklist workflow: When you create a new checklist template in the Manage Checklist Template page, if you select Workflow, then enable Enable Workflow for this Template? and the new setting Enable workflow reviewers to Finalize Checklist, admins and any reviewers will be able to finalize the checklist.

In Checklists, if Enable workflow reviewers to Finalize Checklist has been selected for the checklist template, then a Finalize This Checklist button will display when the admins or reviewers select a checklist.

For more details, see Set Up Checklist Workflow.

  • Field Tickets

    • In the mobile view of Field Management, the Field Tickets header now scrolls with the rest of the page for improved usability.
  • Purchase Orders

    • Approve or reject POs at the header level: The portal setting Employee Group for PO Header Approval allows users in the employee group entered to approve or reject purchase orders at the header level. Previously, reviewers could only approve or reject each individual line item in a purchase order.

On the Pending PO / Subcontract Review page, reviewers can select the Approve by Header checkbox to show only the PO header information. To view purchase order item details, select the dropdown arrow next to each PO number. This portal setting still allows reviewers to approve or reject line items.

For more information about enabling this setting, see Purchase Order Configuration. For more information about reviewing POs at the header level, see Pending PO / Subcontract Review.

Portal setting location: Admin > Portal Settings > Purchase Orders > General Configuration

When the link is selected, Trimble Pay opens in a new tab.

Trimble Pay can also be accessed from the navigation bar (Approval > Manager Review).

Setting location: Admin > Portal Settings > AP Review > General Configuration.

Vista Field Service Highlights

The following enhancements and customer suggestions were added in this release.

  • Work Order Dashboard

    • Hide completed tasks: When the new portal setting Hide completed task from dropdown list is enabled, service items with all tasks completed are hidden in the Tasks dropdown on the Work Order Scope detail page. The Hide Completed option must also be enabled.
