Vendor Invoice Import Template Field Reference

This field reference lists the fields in all worksheets of the Vendor Invoice Import Template. You can see whether or not each field is required and a description of valid values or other pertinent information.

Use this sheet to enter vendors for whom you want to import invoices.

Invoice Status

For an existing vendor, if this field is left blank, ProContractor automatically sets the status during import to the default invoice status for the vendor. If you want to modify the invoice status or if the vendor is a new vendor, enter the invoice status.

  • Open - An invoice with a status of Open can be selected for payment.

  • Payment Hold - An invoice with a status of Payment Hold cannot be selected for payment. To save an invoice with this status, you must enter a default reason for the payment hold in the Default Hold Reason field.

  • Pending Approval - An invoice with a status of Pending Approval cannot be selected for payment until the status is changed to Open, Pay, or Manual Payment. To save an invoice with this status, the invoice must conform to the settings on the Accounts Payable Settings screen.

  • Pay - An invoice with a status of Pay will be paid the next time checks are generated.

  • Manual Payment - An invoice with a status of Manual Payment cannot be selected for payment. You must pay the invoice manually, typically by cash or credit card.

Hold Reason

If the invoice status is Payment Hold and this field is left blank, ProContractor automatically assigns the default hold reason for the vendor during import. If needed, enter a different reason for holding the payment.

Control Company

Enter the code of the company for the invoice.

Invoice Date

Enter the transaction date of the vendor invoice.

Posting Date

Enter the posting date of the vendor invoice. The posting date is the date that the invoice transaction affects the general ledger.

Payment Terms

If this field is left blank, ProContractor automatically assigns the default payment terms for the vendor during import. If you want to specify different payment terms, or if the vendor is a new vendor, enter the payment terms for the invoice.

Net Due Date

If this field is left blank, ProContractor automatically assigns the net due date based on the invoice date and the payment terms. If you want to specify a different net due date, enter the new date.

Discount Amount

If this field is left blank, ProContractor automatically assigns the default discount amount based on the purchase amount and the discount percentage for the payment terms. If you want to specify a different discount amount, enter the discount amount for the invoice.

Discount Due Date

Vendor Compensation Report Type

If this field is left blank, ProContractor assigns the default vendor compensation report type for the vendor. If you want to specify a different report type for the vendor invoice or if the vendor is a new vendor, enter the report type.

External ID

Enter the unique identifier for the record from your original system.

Note: If you don't provide an external ID, ProContractor assigns an identifier. However, Viewpoint recommends that you provide an external ID value for each external data record. ProContractor uses the external ID to map links between imported records.

For example, a project is associated with a customer. When you import your external project data, each project may contain a link to a customer using the customer number from your original system. If you used that original customer number as the external ID in the customer external data, the link between the customer and the project will be maintained once you import both sets of data into ProContractor.

Remittance Lines - Use this section to enter up to 5 remittance lines for joint payee checks. The values entered here appear on the check in places of the typical vendor address. The values in the Remittance Line 1 and Remittance Line 2 fields will appear together as the payee on the check.

Tip: When you enter joint payees for a vendor, here are a few examples of how you might set up the remittance line fields:

Use the Distribution Line worksheet to specify invoice line items that are not related to a purchase order or subcontract. This worksheet is required if the invoice is not related to a purchase order or subcontract.

Enter the Card Verification Value (CVV) of the credit card used for the payment. The CVV is also known as the Card Security Code. It is typically a three-digit number printed to the right of the signature line on the back of the credit card. On some credit cards, the CVV is printed (not embossed) on the front of the credit card.

Credit Card Billing Information

Enter any credit card billing information. This may be the ZIP code of the credit card billing address.

Name as it appears on the Card

Enter the name that appears on the credit card used for the payment.

Bank Routing Number

Enter the bank routing number for the Electronic Funds Transfer (EFT). This is also known as the ABA number. Do not enter dashes or spaces.

UDF worksheet

Use the UDF worksheet to specify import values for user-defined fields. The UDF worksheet contains columns for up to 20 user-defined fields (named UDF_01 through UDF_20) . You must include a column for each user-defined field that is set up for the corresponding function in ProContractor. The fields must be listed in order, based on their corresponding sort value in the User-Defined Fields screen. ProContractor matches the fields in the worksheet to the fields in the system based on this value. For example, the first UDF column matches to the user-defined field with the lowest sort value in the system; the second column in the worksheet matches to the user-defined field with the second lowest sort value in the system; and so on.
