Pre-Billing Payroll Items on T+M Jobs
If you have not received Payroll time card lines for a T+M job, but you know the charges are coming and you'd like to bill the customer for them, complete the following steps to pre-bill the item(s).
Part A
On the Site Map screen, click
Transaction Entry.In the Date field, enter the processing date or make no changes to accept the system default.
Click the PR - Employee tab.
Complete the Employee code, Job, Phase, Ct, Check no., Pt, Total hours/qty, Billing rate, Total amount, and Message fields for each employee time card line to be pre-billed.
When all applicable Payroll lines are entered, press Save.
If applicable, enter any Inventory Control, Job Cost, Vendor, and/or Equipment items to the billing.
When all pre-billing items are in the system, click the Update button. The Time +Materials Journal screen displays.
Complete the Selections fields.
In the Transaction types field, select the pre-billing transaction type(s) you want to update.
Preview the Billing Transaction Journal List.
The T+M Journal Update screen automatically displays. Click Continue and then click OK until you return to the Site Map.
Part B
On the Site Map screen, click
Selection.In the Activity type option box, select the Select option and then press Enter.
In the Job number field, enter the applicable job number, or press F4 or double-click on this field to select from a list of available job numbers.
In the Billing # field, press Enter to accept the default billing number.
Complete the remaining fields in this screen as applicable.
Select Continue and then click OK to save the changes and clear the screen.
Click Detail Billing Selection.
Complete the Job and Bill # fields.
Complete the fields in the Selections window to filter billing selections, as needed.
Select or Deselect billing items to be included on the report.
When the actual Accounts Payable invoices that were pre-billed are entered into Spectrum, Delete any billing items so the customer is not double-billed.
Exit this screen.
