  • Vista 2024 R1
  • Vista 2023 R2

Release Highlights

This release includes the following new enhancements. For more details, see the individual release highlights sections that follow.

  • Reports are now easily accessible from the navigation bar: A new Bell icon on the navigation bar notifies you when a report has been generated. See the General Changes section for details.

  • Collect signatures offline in Field Service: In the Work Order Dashboard, when you launch Field Service offline, you can now collect signatures. See the Field Service Highlights Work Order Dashboard section for details.

  • HR employees can now select a reviewer per individual expense item: Employees with permissions to select expense reviewers can now choose a reviewer for each expense item on a receipt. See the HR Management Highlights Expenses section for details.

Important: Reprint W-2 Forms:

If you are an HR administrator and printed W-2s since the previous Vista Web 24.12 release in December, you need to reprint your W-2s after the update to Vista Web 25.2. There was an issue with the label of the employee social security number box that is now resolved. For more information about printing W-2s, see Paystub Tools.

Trimble ID Logins Coming Soon!

If you are a Vista Web cloud customer currently using Viewpoint ID single sign-on (SSO), you will soon be upgraded to log in using Trimble ID. We anticipate minimal disruption to your users during the transition to SSO with Trimble ID.

Note: Users who log in using their employee number and password will still be able to do so.

To learn more about what to expect, see Trimble ID Logins for Vista Web.

Vista Web Office Tools

The following enhancements and customer suggestions were added in this release.

  • Editing capabilities added to more forms in Office Tools: In this release, if you have the correct permissions in Vista Web and in Vista, you can now add new form entries, edit data on existing entries, and delete entries on the following forms in Office Tools:
    • AP Payable Types
    • AP Pay Category
    • AP Vendor Activity
    • AP Vendor Hold Codes

Any changes you make to the form on the web portal automatically update the same form in Vista. For more information, see Update Vista Forms on the Web.

To see a list of the current Vista forms in the Vista Web portal, see Vista Forms Available in Office Tools.

HR Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Benefits

    • New portal setting: Disable the Keep Existing Plan button on the benefits page: With this new setting, you can control whether or not the Keep Existing Plan button shows for employees on their Benefits page. Enable the setting to hide the button.

For more information, see Configure the Benefits Module.

Portal setting location: Admin > Portal Settings > Benefits > General Configuration

  • Earnings

    • Reprint W-2 Forms: If you are an HR administrator and printed W-2s since the previous Vista Web 24.12 release in December, you need to reprint your W-2s after the update to Vista Web 25.2. There was an issue with the label of the employee social security number box that is now resolved. For more information about printing W-2s, see Paystub Tools.
  • Expenses
    • New portal setting: Email Expense submitter when expense is rejected: If you have proxy expense entry set up and the new portal setting Email Expense submitter when expense is rejected enabled, both the user who submitted the expense and the user whose name is on the expense will be notified by email if the expense is rejected.

For more information about enabling this setting, see Assign Proxy Expense Entry.

Portal setting location: Admin > Portal Settings > Email Configuration > Email Options

    • Employees who can select expense reviewers can now choose a reviewer for each expense item in a receipt: Previously, the portal setting Allow employees to select Expense Reviewer on submission allowed users to choose a reviewer for the entire expense receipt at the header level. Now, when enabled, this setting allows users to choose a reviewer for each expense item (at the line level) from the Edit Expense Receipt page:

Users can still choose a reviewer for all items in the expense receipt by choosing a reviewer from the Submit Expense Report for Approval popup window on the main Submit Expense page.

For more information about this setting, see Allow Employees to Select Expense Reviewers.

Note: This feature was added in Vista Web 25.2+.
  • Timecards

    • New advanced portal setting allows for editing time while a timecard batch is locked: The new setting, Employees who can edit time when batch is locked, allows employees in the group entered to edit time without having to unlock the batch. The group assigned to this portal setting will be able to edit time in a locked batch in Grid Timecard and Job Time Approval.

Advanced portal setting location: Admin > Portal Settings > Timecard > General Configuration

Field Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Field Tickets

    • Enhanced Material Search: In the Field Ticket Dashboard, when adding material usage to a ticket, the Material field no longer requires text that is an exact match to the dropdown list. The list is filtered regardless of word order or uppercase or lowercase text.
    • Create additional lookups for user defined (UD) fields on field tickets: You can now use parameters other than company when adding UD fields to JC field tickets.

For example, if you assign a lookup to this udTextBox field, the available values can be filtered to the list of vendors in the same city based on the value of the City field.

  • Progress Entry
    • Improved user experience for progress entries: When the new portal setting Hide Completed Line Items by default when editing Progress Entries is enabled, admins can hide completed lines by default. When a user is in progress entry, if this setting is enabled, the Hide Completed Line Items? checkbox is selected and completed lines are automatically hidden.

If the user would prefer to see completed lines, they can uncheck the box.

Setting location: Admin > Portal Settings > Progress Entry > General Configuration

  • Purchase Orders

    • Approve or reject POs at the header level: The portal setting Employee Group for PO Header Approval allows users in the employee group entered to approve or reject purchase orders at the header level. Previously, reviewers could only approve or reject each individual line item in a purchase order.

On the Pending PO / Subcontract Review page, reviewers can select the Approve by Header checkbox to show only the PO header information. To view purchase order item details, select the dropdown arrow next to each PO number. This portal setting still allows reviewers to approve or reject line items.

For more information about enabling this setting, see Purchase Order Configuration. For more information about reviewing POs at the header level, see Pending PO / Subcontract Review.

Portal setting location: Admin > Portal Settings > Purchase Orders > General Configuration

Note: This feature was added in Vista Web 24.12.

    • Improved error messaging on grid timecards when filtering crews: If you are filtering for a crew and none of the employees in the grid are part of that crew, a new error message displays: No employees on this card belong to the [name of crew selected] crew.

Previously, if you filtered for a crew that none of the employees in the grid belonged to, the portal did not provide any feedback.

Financial Controls Highlights

The following enhancements and customer suggestions were added in this release.

  • Billing Compiler - Next Gen
    • Order the billing compiler PDF invoice attachments to match the JB T&M Invoice detail report for easier auditing: In the Select Your Project's Billing section, if you make a T&M selection in the Contract and Bill fields, a Match JB T&M Invoice Detail checkbox displays in the Customize Your Output section. Select the Match JB T&M Invoice Detail checkbox, then Initialize Attachments to order invoice attachments in the same order as the JB T&M Invoice detail report. Note that PDF files are reordered but ZIP files are not.

  • Open Billing Review

    • Control the custom fields available in the notes section: With the new portal setting Open Billing Review Credit Note Custom Fields, you can add a user defined (UD) field from Vista's AR Credit Notes to the notes section of Open Billing Review by adding the User Defined Field Name. For multiple notes, enter a comma between each field name, no spaces.

In the Add a Note section, select the caret to open or collapse the note.

For more information, see How to Use Open Billing Review.

Setting location: Admin > Portal Settings > Billing > General Configuration

Vista Field Service Highlights

The following enhancements and customer suggestions were added in this release.

  • Work Order Dashboard
    • Collect signatures in offline mode: When launching Field Service in offline mode, you can now collect signatures. Once you are back online, a banner notifies you that you have trips to complete.

Select Complete to view a list of the trips you need to complete, then select a specific trip to complete it.

    • Track information on the location of the work performed with work complete line items: With the new portal setting SM Work Complete UD Fields to display, user defined (UD) fields created in Vista will now display for Labor, Equipment, Misc, Inventory, and PO work item types. When enabled, you can choose which UD fields are available for SMCo and line types. These fields display when a new work completed line is added or an existing one is edited.

For PO work items, if the portal settings Route PO's in Field Service to Reserved on the PO Dashboard and Disable Required Fields in Create PO are enabled for a company, then custom fields will not be displayed.

For more information, see Configure Field Service Portal Settings.

Setting location: Admin > Portal Settings > Field Service > User Defined Fields

  • Work Orders
    • Immediate notification of rejected trips: When the new portal setting Notify Service Center when Work Order is rejected is enabled, if a work order is rejected from the portal, an email is sent to the service center email (SM Service Centers). If the service center does not have an email address, the email will be directed to the users assigned to the portal setting User Group for Field Service Admins.

For more information, see Configure Field Service Portal Settings.

Setting location: Admin > Portal Settings > Field Service > General Configuration

  • Work Time
    • If the new portal setting Prevent entry of overlapping labor time is enabled, technicians in Field Service will not be able to enter time that overlaps with previously entered time on the same day. The search for duplicate time only looks at unposted timecards. Note that this functionality requires the setting Save inline timecard start and stop times on Work Completed Labor Lines to also be enabled.

For more information, see Configure Field Service Portal Settings.

Setting location: Admin > Portal Settings > Field Service > Work Complete

General Changes

General changes affect portal administration or multiple modules in the web portal.

  • Reports are now easily accessible from the navigation bar: A new Bell icon on the navigation bar notifies you when a report has been generated. If there are no notifications, the bell is gray.

After you generate a report, the Bell icon turns red and badge counts indicate the number of reports generated.

Note: When you generate a report, a confirmation pop-up message displays: Report has been queued. When the report is ready, a second pop-up displays: Report is ready to be downloaded. If there is an issue with downloading the report, you will see an error notification.

Select the Bell icon to open a dropdown list of report tiles. Once you open the list, the bell changes from red to blue.

Select a tile to download the report. Once the report is downloaded, the tile and notification count are removed from the list. You can also remove a report by selecting x.
