Troubleshooting: W-2 or T4 Records not Showing in Employee Self-Service

Backing up W-2 (U.S. employees) or T4 (Canadian employees) records in Spectrum can resolve issues with those forms not showing on the employee's Earnings page in Employee Self-Service.

Your Spectrum administrator must back up W-2 or T4 records for the applicable reporting year and company.

In addition, you should make sure that you have enabled the Earnings feature for the appropriate companies in your HR portal. See Configure Enterprise Settings for more details.

Note: If you make corrections to W-2 or T4 forms after backing up those records, you must run the backup process again for those changes to show in Employee Self-Service.

You must be a Spectrum administrator to perform this task.

  1. Log in to Spectrum, and select the applicable company from the dropdown in the navigation bar.
  2. Select System Administration > Year End > Year End Processing.
  3. Select Payroll.
  4. Select either W-2 Processing or T4 Processing.
  5. In the W-2 Form Maintenance or T4 Slip Maintenance screen, select the Backup button.

  6. In the Back Up W-2 Records to History or Back Up T4 Records to History pop-up window, do the following:
    1. In the Year field, enter the applicable reporting year.
    2. Under Proceed with update? select Yes, write information to history.

    3. Select OK.
After the history table has been built, employee users in the relevant company should see their W-2 or T4 records on the Earnings > Yearly Forms tab in Employee Self-Service.
