Generate the I-9 Audit Report

View all changes to and actions involving employee I-9 forms with the I-9 Audit Report, which you can generate from the Onboarding Dashboard or from an employee's Onboarding Details page.

The I-9 Audit Report is a PDF that includes the following details:
  • User who made the update
  • IP address of the user who made the update
  • Sections of the form that were updated
  • Previous and current entries
  • Date and time the E-Verify process began
  • Date and time the I-9 is downloaded
You can generate an I-9 Audit Report for a single employee or for multiple employees at once:

You will only be able to generate a report for employees with an I-9 history.

Note: You must be an Onboarding Admin to generate an I-9 Audit Report.

Generate the I-9 Audit Report for an Individual Employee

You must be an Onboarding Admin to do this task.

The I-9 Audit Report is a PDF that includes the following details: the user who made an update, the IP address of the user who made an update, which sections of the form were updated, the previous value that was changed and the current value, the date and time the E-Verify process began, and the date and time the I-9 is downloaded from the Onboarding Details page.

  1. Go to Employee Tools > Onboarding Dashboard.
  2. Select the employee's name from the Employee column.
  3. When the Onboarding Details page opens, select I-9 Audit Report.

    Note: If the I-9 Audit Report button is disabled, the I-9 form has not been started. As soon as the form is started, the audit also begins tracking changes. At this point, you can generate the report.

    If there is not I-9 Audit Report option, the employee's profile does not have an I-9 form.

  4. Once the report generates, go to the notifications bell icon in the navigation bar and select the report to download it.
  5. Go to your downloads folder and open the PDF to view the report.
Note: Changes made to an employee's I-9 from your Vista Web 25.4 release date and forward are captured in the audit report.

Generate the I-9 Audit Report for Multiple Employees

You must be an Onboarding Admin to do this task.

The I-9 Audit Report is a PDF that includes the following details: the user who made an update, the IP address of the user who made an update, which sections of the form were updated, the previous value that was changed and the current value, the date and time the E-Verify process began, and the date and time the I-9 is downloaded from the Onboarding Details page.

  1. Go to Employee Tools > Onboarding Dashboard.
  2. Select I-9 Audit Report from the top of the page.
  3. In the I-9 Audit Report Selection Criteria window, enter parameters to filter the employees you want to download the report for.
    • Enter a starting and ending Invitation Date.
    • Enter a starting and ending Expected/Hired Date.
    • Choose an onboarding Profile.
    • Choose a Hiring Location.
    • Choose a new hire's Status.
    • Select if the I-9 is Completed by Employer.
  4. Enter the employees you want to download the I-9 Audit Report for.
    1. Either enter the name in the search field, or scroll through the list to select a name.
    2. Select each name you want to include, then select the right arrow button to add these names to the section on the right.

      This section lists the number of audited I-9s to be included in the report.

    3. Once you have added all the names you want, select Generate Report.

    Note: The date next to the employee name in this window is the invitation date.
  5. Once the report generates, go to the notifications bell icon in the navigation bar and select the report to download it.
  6. Go to your downloads folder, open the ZIP folder, and view the PDF reports, one per employee.
Note: Changes made to an employee's I-9 from your Vista Web 25.4 installation date and forward are captured in the audit report.
