What's New in 2025 R8

What's New lists the enhancements and changes made in the 25.8 Vista Web release. This release is available in August 2025. The Field Management Mobile application is available to download 24 to 48 hours following the release date.

Customers hosted in a Viewpoint for Cloud™ solution receive the latest update automatically. For customers who update modules manually, see Update the Portal for help.

Compatibility with Vista

The 25.8 version of the web portal is compatible with the following versions of Vista:
  • Vista 2025.8 (coming soon)
  • Vista 2025.6
  • Vista 2024 R1

Release Highlights

This release includes the following new enhancements. For more details, see the individual release highlights sections that follow.

  • Introducing managed users for simplified Trimble ID logins: We've streamlined the Trimble ID user setup and login process with the introduction of Managed Trimble ID users. For users who do not have a company email, managed user credentials allow admins full control over creating and updating user accounts. For details, see the Trimble ID Updates for Vista Web section.

  • Streamline your expense posting with Auto Expenses: The new Auto Expense feature takes the current Quick Add functionality and uses AI to extract key details from the uploaded receipt image, automatically creating a new expense receipt and populating the transaction date, vendor, total amount, and description fields. For details, see the HR Management Highlights - Expenses section.

  • Create Requisitions from Processed Purchase Orders: From the Purchase Order Dashboard, you can create a new PO requisition that copies the header and item information of an existing Processed Purchase Order. For details, see the Financial Controls Highlights - Purchase Order section.

  • View a technician's unavailable time from the Service Manager Dashboard: You can select the new Show Unavailable Time filter to view a technician's unavailable time directly on the dashboard. For details, see the Field Service Highlights - Service Manager Dashboard section.

Trimble ID Updates for Vista Web

Review changes related to Trimble ID setup and logins in the web portal.

  • Trimble ID direct logins streamline the user setup and login process: Introduced in an update prior to the Vista Web 25.8 release, Trimble ID direct logins bypass the Viewpoint Team login screen and go directly to the Trimble login page (https://login.trimble.com). Direct logins provide the following benefits:
    • New Trimble ID users linked to a Vista VA User can log into the portal directly without first logging into Vista.
    • New Trimble ID users not linked to a Vista VA User no longer need to be created in Team.
  • Trimble ID Managed Users: We've simplified Trimble ID logins for Vista Web with the introduction of managed Trimble ID users. There are now two types of Vista Web Trimble ID users: managed users and native users.

    • Native Trimble ID users have credentials managed through Trimble ID (not through the Vista Web portal) and have a company email address.
    • Managed Trimble ID users have credentials managed directly through the Vista Web portal and do not have a company email address.

    To set up managed users, you must be on Vista Web version 1.25.8.434 or higher. Admins can create a managed user for any portal user who does not have a Viewpoint VP User Name and is not already associated with a VA User or native Trimble ID account.     Benefits of managed Trimble ID users:

    • Simplified user setup: Admins can set up users who do not have company emails by adding users in Vista PR Employee and assigning Trimble ID credentials in the portal. For more information, see Configure Trimble ID Managed User Logins.

    • Full admin controls: Admins have full control over creating and updating managed Trimble ID user credentials, including the ability to reset passwords and unlink accounts, which simplifies troubleshooting.

      Tip: Use the portal setting TID Notification Preferences to choose the communication method used to notify managed users when connecting their Trimble ID account to their portal profile.
    • Bulk assignment: Admins can assign multiple managed users at once using an import template, which includes error tracking for correcting issues with the bulk assignment. For more information, see Bulk Assign Managed Users.

    Note:
    • Trimble ID and managed users are not available for test environments.
    • Multifactor authentication (MFA) is not yet available for managed user logins.
  • Review troubleshooting methods to resolve issues with Trimble ID logins: For guidance on a variety of ways to resolve Trimble ID login issues, review the article Troubleshoot Trimble ID Issues.

  • Kiosk Mode Clock-In logins and managed Trimble ID: Managed user credentials impact your users' abilities to clock in through the various Kiosk login options.

    Tip: Look for additional changes to Kiosk Mode logins in future releases.

HR Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Expenses

    • New! Auto Expense feature: Now when you use the Quick Add feature to upload a picture of your receipt, the portal uses AI to extract data from the receipt to automatically fill fields in the header.

      Here's how it works:
      1. To enable this feature, an admin must first turn on the new portal setting Enable Auto Expense.
      2. Take a picture of your receipt and upload it using the Quick Add feature.
      3. Vista Web then uses AI Optical Character Recognition (OCR) to read the receipt and extract data.
      4. When this process completes, you will receive a notification. Select the notification to open the new expense receipt, where the following fields are automatically populated: Transaction Date, Vendor, Total Amount, and Receipt Description. Edit the fields as needed.
      Note: The Auto Expense OCR feature does not work if the receipt is blurry or torn, and images must be in PNG or JPEG file format. PDFs are not currently supported but will be introduced in a future release.

      If there is an issue with OCR, the feature defaults to the standard Quick Add functionality.

    • Display pending credit card transactions in the navigation bar with new portal setting: To display a badge with the number of pending credit card transactions on the Employee Tools option in the navigation bar, enable the portal setting Show pending Credit Card Transactions in Nav Bar.

      When enabled, users will see a badge indicating how many credit card transactions are in the Unreconciled Credit Card Transactions state and are available for coding. For more information, see Configure Expense Credit Cards.

      Setting location: Admin > Portal Settings > Expense > Credit Card

    • Expense items in the Expense Approval grid now remain selected: Any expense items you select in the Expense Approval grid now remain selected, even when you leave the grid to edit an expense item, view an attachment, approve or reject a single expense item line, or move to the next page of items in the grid.

    • Create new expense receipts faster with the new Hotlist Item shortcut: The New Expense Receipt hotlist item option allows you to jump from the home screen to creating a new expense receipt.

  • Onboarding

    • New! Onboarding now available for Canadian customers: Changes to the Onboarding module now allow Canadian new hires to be initialized to Vista. This update comes with the following changes:
      • SSN / SIN added to Personal Info section: The Country on the employee's onboarding profile determines whether SSN (US social security number) or SIN (Canadian social insurance number) displays. When the profile is All, the label for this field will be based on the company assigned to the portal setting Company number for Onboarding and ATS Logo.
      • If this SSN / SIN field is set to required in the setting Required Fields on Personal Info (Onboarding Only), then new hires will be required to enter their number when filling out the Personal Info section.
      • If the new hire's profile does not contain the I-9 or W-4, the new hire can still be initialized to Vista (applies to US and Canadian customers).
    • Save your progress when initializing an employee to Vista: In the Initialize to Vista window, select Save & Close to keep your changes so you can return to them later without having to re-enter information. The data does not go to Vista until you submit it. For more details, see Initialize a New Hire to Vista.
      Note: Updates to the Expected Hire Date, Expected HR Company, or Expected HR Ref will be reflected on both the Onboarding Details page and in the initialization window.
    • Minor changes to Form I-9: The portal now reflects the updated version of Form I-9. Changes from the USCIS include statutory language updates and revisions to List B document descriptions. For more details about these changes, see the U.S. Citizenship and Immigration Services website.
      Note: This feature was added in an update after release 25.6+.

      Vista Web portal changes to the I-9 include expanding the character count of fillable fields to match the number of characters allowed on the federal fillable form. This involved changes to the Issuing Authority and Employer's Business or Organization Name fields.

    • I-9 Audit Report now available for onboarding profiles that do not currently include an I-9 form: Vista Web no longer requires an employee's onboarding profile to currently contain an I-9 form in order to return I-9 audit information. This makes audit history more readily available for employees who have changed onboarding profiles or who no longer have an I-9 attached.   • Personal Information

    • New portal setting automatically sends updated personal info to Vista PR Employee and AP Vendors: To have changes to employee personal info and direct deposit data automatically update in Vista, enable the new portal setting Push personal info updates to AP Vendor record if account is linked.

      If a user's PR Employee record is linked to an AP Vendor, with this setting enabled, updates to personal info and direct deposit data in the portal will also update the corresponding fields in Vista:
      Personal info fields will update Vista PR Employee:

      Employee Name, Phone, Email, Address, Address 2, City, State, Zip Code, Country

      Direct deposit fields will update Vista AP Vendor:

      Routing #, Bank Account #, Account Type

  • Timecards
    • Map multiple holiday earn codes to a single leave code in the portal: The portal setting Earn Code Mapping for Leave Code and Holiday Validation now allows you to map more than one earn code to the leave code KDSHOL. This enables admins to set up an earn code for a salary holiday rate versus an hourly holiday rate. Users can then enter the earn code that applies to them when entering holiday time in their standard timecard. For more details, see Configure Leave Balancing.

    • Filter Timecard Approval page by Job: The new Job filter allows for filtering the Timecard Approval page to display only timecards that include lines associated with a specific job. This filter defaults to All jobs. For more information about timecard approval, see Approve Time as a Timecard Manager.

Field Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Equipment
    • Equipment Work Order Part details now editable after saving: After adding and saving a part on an equipment work order, you can now edit the part details fields.

  • Job Approval
    • Job Approval Summary Report now includes Equipment Hours: The PDF report now includes a row below the main detail row that includes Equipment and Usage Units (hours), provided both values are entered in that timecard row. For more details, see Review Timecards in Job Approval.

      Note: If you have overrides set up for this report, you must re-create your overrides with this new version of the Job Approval Summary report.
  • Purchase Orders
    • New! Create Requisitions from Processed Purchase Orders: From the Purchase Order Dashboard, you can create a new PO requisition that copies the header and item information of an existing Processed Purchase Order. For more details, see Create and Submit a PO Requisition.

    • New portal setting to prevent users from submitting POs with negative units in PO Receiving: Enable the setting Do not allow negative units on PO receiving to restrict users from submitting purchase orders that have negative remaining units. Users will not be able to submit until the remaining units value is either zero (0) or a positive number. For more details, see PO Receiving Configuration.

      Setting location: Admin > Portal Settings > Purchase Orders > Receiving

    • New Vendor Material field allows for vendor-specific pricing on PO items: With the new portal setting Show Vendor Material in PO (PO Entry, SM PO, and Pending PO) enabled, the new Vendor Matl field displays when entering PO line items.

      In Vendor Matl, you can select material pricing that is specific to the vendor in the PO header.

      If you select a Material that has a vendor-specific price, the Vendor Matl, Description, and Cost fields automatically update to reflect that vendor's pricing. If no vendor material exists for the selected material, the field remains blank, and the standard Description and Cost display. Both the Material and Vendor Material fields are editable.

      Setting location: Admin > Portal Settings > Purchase Orders > General Configuration

    • ECM field added to SM Purchase Order lines: The ECM field allows the total amount to be calculated correctly, as it automatically multiplies the unit cost by the factor selected.

    • Unit Cost field for PO items now allows five digits past the decimal point: When entering the Unit Cost on a purchase order, the web portal now matches Vista and accepts up to five digits past the decimal place. This helps insure PO totals are accurate and match between the portal and Vista.

    • Add attachments to multiple PO Receiving lines at once: With the portal setting Require Attachments when Receiving enabled, you can now upload an attachment to the header of the purchase order. Enter the units received for all lines you want to add the attachment to. Select the paperclip icon in the header, choose your attachment, and save. This attachment will be added to all lines that have a Received value. For more details, see Receive a PO.

  • Timecards

    • Filter Timecard Approval page by Job: The new Job filter allows for filtering the Timecard Approval page to display only timecards that include lines associated with a specific job. This filter defaults to All jobs. For more information about timecard approval, see Approve Time as a Timecard Manager.

    • Improved Job Time Approval Load Grid option: On the Job Time Approval grid, we've made it more apparent that if you choose a Job, Template, or Crew filter, you must select Load Grid to see the grid update to reflect your filter parameters.

      Note: In order for the Load Grid option to display, the existing portal setting Require Filtering of Job Approval results by job must be enabled.

Financial Controls Highlights

The following enhancements and customer suggestions were added in this release.

  • Job Billing
    • New user permission provides access to Job Billing Review only: The new Financial Controls JB Review permission in User Access provides a way for users to access the Job Billing Review page without giving them access to the Job Billing Dashboard. This does not change the Progress Billing permission. For more information, see Configure Vista Web for Job Billing.

  • Purchase Orders
    • New! Create Requisitions from Processed Purchase Orders: From the Purchase Order Dashboard, you can create a new PO requisition that copies the header and item information of an existing Processed Purchase Order. For more details, see Create and Submit a PO Requisition.

Vista Field Service Highlights

The following enhancements and customer suggestions were added in this release.

  • Work Order Dashboard
    • Technicians can now view service site attachments in the portal: With the new portal setting Attachment Type ID's to enable for Service Site Attachments configured, your technicians can view attachments added to the Vista SM Service Site form. You can limit attachment viewing by SM Company and Attachment Type. For more details, see Configure Field Service Portal Settings.

    • View Service Item History: Technicians can now quickly look up the specifications and details of service items entered in forms over time. In the Forms section of a Work Order scope, select the History icon to view a list of forms that use the same template and include the same service item. Forms are listed by date. Select one of the forms in the list to open it in a read-only view. Go through each form to see the service item changes over time. For details, see Update Field Service Scopes.

      Note: The modal will show no history in the following situations:
      • If there are no other forms that use the same template with the same service item
      • If the template does not have any service item associated with it

    • Configure work order forms to auto-fill with task-specific service item details: You can now associate a specific service item with each individual task in a work order. When a form is generated for a task, it uses the service item assigned on that specific task to auto-fill the form fields. The details on the form now reflect the service item in that task, rather than the main service item for the whole work order.

      For this feature to work, configure the following:
      • An admin enables the advanced portal setting Form Templates with standard task default assignments will generate for each task instance. This adds individual form templates for each standard task with a default assignment on any existing and future Work Order trips.
        Note: If this setting is disabled, only one form will generate for the work order, which will prefill with the service item on the first task.
      • When setting up a form template, set a Default Assignment Type of Standard Task and properly Create Field Service Form Templates with Service Item Fields.
    • Allow notes on open trips to be visible for other technicians assigned to the work order: In the portal setting Notes to show in work order history, enable the new option Include from Open Trips, allowing notes made by technicians on open trips to be visible in the work order history for other technicians assigned to the work order.

    • Checkmark displays if a scope has work completed entered: The new advanced portal setting Show check mark when Scope has Work Completed allows you to track the progress of scopes on a work order. When this setting is enabled, in the Work Order Details, a checkmark displays next to a scope once work has been completed on it across one or more trips. This helps technicians quickly identify which scopes have been completed.

      Advanced setting location: Admin > Portal Settings > Field Service > Advanced Configuration

    • See all Technicians assigned to the same Work Order: The new Technicians button on a work order allows users to see who else is assigned to the same work order on a given day. Select the button to see the list of technicians and the trip description, date, and time. For more information, see Update Field Service Work Orders.
      Note: The Technicians button does not display for unscheduled trips or in offline mode.

  • Service Manager Dashboard
    • View a technician's unavailable time directly from the Service Manager Dashboard: In the filters at the top of the dashboard, select the Show Unavailable Time checkbox. A technician's unavailable time entered in Vista SM Technician Unavailable Time now displays in the new Unavailable Time column.

    • Type to search for technicians when adding a trip: On the Service Management Dashboard, when adding a trip, you can now search for technicians by name or technician ID in the Lead Technician dropdown. This field previously had no search capability.

    • Material lookups now correctly use a technician's assigned Inventory Company (INCo) to retrieve materials list: Field Service Material lookups now use the INCo defined in a user's Vista SM Technician record, enabling access to all assigned material locations.

Vista Web Office Tools

The following enhancements and customer suggestions were added in this release.

  • Editing capabilities added to more forms in Office Tools: In this release, if you have the correct permissions in Vista Web and in Vista, you can now add new form entries, edit data on existing entries, and delete entries on the following forms in Office Tools:

    Any changes made to the form on the web portal automatically update the same form in Vista. For more information, see Update Vista Forms on the Web.

  • New look for the Office Tools landing page! When you open office Tools, you'll see that the landing page has a new look and provides more guidance on our process for bringing Vista workflows to the web.

General Changes

General changes affect portal administration or multiple modules in the web portal.

  • Report error messages are now more detailed: When a report has an error, improved error messaging now tells you that the issue is with a report and includes the report name.

Maintenance Releases for Vista Web

HR Management, Field Management, Financial Controls, and Field Service had a maintenance release in July to fix issues from the previous release.
