Adding Annotations to Documents

When you are using the DM Document Viewer to view documents, you are able to add annotations to documents.

When you add annotations to a document, the system stores the annotations in a separate file. The original document remains attached to the data record, but does not contain the annotations. For more information on using the DM Document Viewer, see Setting Document Viewing Options.

Note: The system overlays the annotations when the DM Document Viewer displays the document. When you export the document with annotations, the system creates a copy of the document that includes the annotations.

The DM Document Viewer toolbar provides the following toolbar options for adding, and modifying, annotations for a document. For more information on the toolbar options for viewing documents, see Viewing Options in the DM Document Viewer.

Description

Click this button to save the annotations for the document. The system saves annotations separately from the document and not to the actual document.

Click this button to delete all annotations. To delete a single annotation, right click the annotation and select the Delete option.

Click this button to return annotations to their original saved location or shape. If you click this button prior to initially saving annotations to the document, the system removes all annotations.

Click this button to draw rectangular shapes. The rectangles default to the color yellow and are translucent (think of using this option as a highlighter). You can change settings for a single rectangle by right-clicking on it, and selecting either the Color or the Remove Translucency option.

Click this button to browse for an image to add to your document. Once you select an image, click in the document where you want to place the image. To replace the image, right-click the image and select the Image option. A browse window displays and you can select another image to replace the current one.

Click this button to draw a text box. The text box defaults to a pale yellow color with the words “Sample Text” (think of using this option as a “sticky note”). To change default text, double-click the text box to display the cursor and modify the text, as necessary. You can change the settings for a single text box by right-clicking it and selecting either the Color or Font option.

Click this button to draw an elliptical shape. This shape defaults with a black outline and a translucent interior. You can change the settings for a single oval by right-clicking on it and selecting either the Color or Remove Translucency option.

Click this button to draw in freehand on the document. Drawings default as a red line with a width of 1. To change the default settings, right-click the drawing and select the Color or Line Width option.

Click this button to draw on the document; lines end with an arrowhead. Lines default as red, with a line width of 1. To change the default settings, right-click the drawing and select the Color or Line Width option.

All annotations can be resized by clicking the annotation and dragging one of the corner or side boxes. To rotate an annotation, hover over the green dot above the annotation until you see the curved arrow. Click and hold the left mouse button and drag the mouse to the left or right to rotate the annotation. You can also move an annotation to another location in the document by clicking and dragging the annotation.

If a document has multiple pages, annotations can be placed on each individual page.

The following options are available from the right-click context menu:

  • Select All Annotations – When you choose this option, all annotations the system selects all annotations. You can then click and drag all annotations at once.

  • Hide Annotations – Select this option to hide all annotations.

  • Show Annotations – Select this option to view all hidden annotations.

Note: Once you add annotations, any user who has access to the document can add, change, or delete annotations.
