Release Highlights
This release includes the following new enhancements. For more details, see the individual release highlights sections that follow.
Set up alternate layouts for grid timecards: You can now set up and assign an alternate row layout for a grid timecard template, allowing specific employee groups to use a layout that is different than the standard one. For details, see the HR Management Highlights - Timecards section.
Add Equipment to clock in / out: Enable the new equipment portal setting to allow users to select and capture the Equipment they are using when clocking in or out. For details, see the Field Management Highlights - Timecards section.
Configure welcome email templates specific to Trimble ID managed users: You can now create a custom welcome email template for new Trimble ID managed users, including required tags for their username and temporary password. For details, see the Trimble ID Updates section.
Trimble ID Updates for Vista Web
Review changes related to Trimble ID setup and logins in the web portal.
We will roll out this change in scheduled waves. After Trimble ID is enabled for your organization, you'll have a dedicated window to transition all user accounts. To learn more, review our frequently asked questions: Trimble ID Logins for Vista Web FAQ.
New! Welcome email templates for managed users: You can now create templates and send welcome emails specific to new Trimble ID managed users.
In the new portal setting Managed User Welcome Email Template Verbiage, enter the text for the welcome email.
If you don't want to write your own, the email will use the default text: Your username is [ManagedUserName] and your temporary password is [TemporaryPassword]. You will be required to change the password when you first log in.
You will also need to assign an employee group to the new portal setting Managed User Designation Group. These users will receive the Managed User Welcome Email at the time that their managed user is assigned (these users will not receive the generic portal Welcome Email).

- Improved new hire process for managed users – automatically assign managed users: From the User Access page, you can now automatically assign managed users. In order for this feature to work, admins must configure the following portal settings:
- TID Managed Users Auto-Naming Pattern: Select a pattern for naming your managed users.
- Managed User Designation Group: Create and enter an employee group to include the users who are set up to be managed users but who are not yet assigned a user name.
On the User Access page, select More
and choose Auto Assign Managed Users. In the Auto Assign Managed Users popup window, you can see how many new unassigned managed users you will be assigning. Select Proceed to start the process, which runs in the background.

- New option for auto-naming Trimble ID managed user names: When enabling the portal setting TID Managed Users Auto-Naming Pattern, there is a new option of PRCo_EmployeeNumber. The portal automatically generates user names for your new managed users in the format of PR Company number followed by their Employee Number. For example: 1_100.

- New filters to sort users on the User Access page: In User Access, two new filters now help you sort non-Trimble ID users, or view unassigned managed Trimble ID users.
- Show only non-TID users: Select this filter to display all users who are not linked to a Trimble ID login. These users do not have a check mark in the TID Linked column.
- Unassigned Managed Users: Select this filter to display users who are set up to be managed Trimble ID users in the employee group in the new Managed User Designation Group portal setting, but who are not yet assigned. This Unassigned Managed Users filter displays only when Trimble ID is enabled and the portal setting Managed User Designation Group has a value.
- Trimble ID users can now update their Kiosk passwords: Both admins and users can now set or change Kiosk passwords for clocking in and out. This feature is particularly beneficial for new users who previously did not have an employee number login. Note: Users who previously logged in using an employee number can continue to clock in with their employee number password, even as Trimble ID users.

HR Management Highlights
The following enhancements and customer suggestions were added in this release.
- Action Items
Improved filtering of the Action Items page: The list of Action Items now displays items that are Not Submitted, helping users focus on the action items needing attention.
- Benefits
- Updates to the Benefits Audit window: The Benefits Audit window now has the option to filter by benefit code assigned to the user and now displays benefit groups and their assigned benefit codes.
- Filter by benefit code: From the Benefit Codes dropdown, choose All Codes or Assigned to user.
Assigned to user shows the codes currently assigned to the employee based on the HR Benefit Groups set up in Benefit Assignments. Employees will see these codes during open benefit windows.
View Benefit Groups: This new column displays the benefit group(s) assigned to each benefit code. When you filter the grid by a user's assigned codes, the view will now also be limited to only that user's assigned benefit groups. See Configure Benefit Groups for more details.
- Filter by benefit code: From the Benefit Codes dropdown, choose All Codes or Assigned to user.
- Earnings
Access and print official W-2 forms in the portal: To simplify printing and filing, Vista Web now provides access to official PDF W-2 forms when they are attached to a user's employee record in Vista. If the official PDF W-2 document has not been attached for tax year 2025, Vista Web will display a link to the existing W-2 report (this portal-generated report will not be available for subsequent tax years).
- Expenses
- Improved credit card import issue identification: When uploading credit card transactions in the portal, if any transactions have issues, users now have several options:
- Upload Valid & Download Errors: Select this option to continue the import process for the valid transactions and download a CSV file with the invalid transactions and error messages.
- Cancel & Download All: Select this option to stop the import process and download a CSV file with the valid transactions and error messages.

- Onboarding
New portal setting for Required Fields on Initialize to Vista: This release adds a portal setting for Required Fields on Initialize to Vista, which determines which additional fields in the Initialize to Vista window are required.
In the setting, list the field names you want to make required, separating each by a comma. For example: FirstName,LastName,Address1

Changes to claiming federal tax exemption on the portal W-4 form: In order to reduce employees who accidentally select Federal Tax Exempt status on their W-4 form, the exemption checkbox has been moved from the main form to its own individual popup. Select the 🅘 information icon to open the popup, and select the checkbox if you meet the conditions.
- Performance Reviews
- New! Employees can now acknowledge performance reviews: Once a manager completes an employee's performance review, employees can now acknowledge the review by indicating they agree or disagree with the manager's feedback. For more details, see Acknowledge Your Employee Performance Review.
With this change, the new portal setting Text for Employee Acknowledgement Sign Off allows you to write a custom message in the window where employees complete their acknowledgment. For more details about performance review settings, see Configure Performance Reviews.
- New! Employees can now acknowledge performance reviews: Once a manager completes an employee's performance review, employees can now acknowledge the review by indicating they agree or disagree with the manager's feedback. For more details, see Acknowledge Your Employee Performance Review.
- Report Library
Important – Upcoming Retirement of the Report Library:
At the end of 2026, the current Vista Web Report Library feature will be retired. This is due to the end of support for Microsoft SQL Server 2016 in July 2026 (this is the last supported version).- Cloud customers will have their existing reports migrated to a new reporting solution that leverages Power BI in Trimble Construction One Analytics.
- On-premises customers can continue using the existing library until the end of 2026.

- Timecards
New! Alternate layouts for grid timecards: In Grid Timecard Layouts, you can now set an alternate row group for each grid timecard layout, allowing for two layouts per template. Switch on the Show Alt Row Groups toggle, and drag and drop fields into the Alt Row Groups section.
In Grid Timecard Settings, select the Web Layout that has the alternate layout, then select or enter the Employee Group for Alt Web Layout. Users in this employee group see the alternate layout, while other employees who are not in this group see the standard layout.

Note: These changes apply to Job Approval as well. When an alternate layout is available, any approvers who are members of the alternate layout group see the alternate layout in Job Time Approval.- Portal setting to add Equipment to Clock In: With this release you can include Equipment as an option when clocking in / out. - Batch email reminder from Timecard Dashboard now includes Job Approvers: With this release, when you select , Job Approvers are now included in the reviewer list and will receive the reminder email.
- Group by Employee option on Time Clock Dashboard: This release adds a Group by Employee option to the Time Clock Dashboard. This option is enabled by default. When disabled, the employee lines are ungrouped and each individual record is shown in the main grid.
Auto-save for Grid Timecard: This release adds a setting to enable auto-save for Grid Timecard. When enabled, once a user edits a line, the edit will save automatically.

Field Management Highlights
The following enhancements and customer suggestions were added in this release.
- Field Management Mobile
- Timecard changes for overnight clock entries: To keep time reporting fully compliant, any shift that crosses midnight (clock in before midnight, clock out after midnight) will now be automatically split into two timecards. Users must manually adjust their hours on both timecards.
First Timecard: Includes hours worked until 12:00 AM. Users must adjust their hours to include only the time worked before midnight.
Second Timecard: Includes hours worked after 12:00 AM. The app automatically creates this second timecard for the following day. Users must record the remaining hours worked from midnight until clock out.
- Trimble ID logins are now available for the FM Mobile app:
After admin configuration, Field Management Mobile users will now be able to set up their credentials and sign in to the mobile app using Trimble ID. The administrative steps for configuring Trimble ID in FM Mobile is the same as configuring Trimble ID in the Vista Web portal. For setup details, see Trimble ID Logins for Vista Web.
To sign in with Trimble ID, users select the Trimble ID Login option on the FM Mobile login screen. For details, see Sign in to Field Management Mobile with Trimble ID.
If users already have Trimble ID credentials for the web portal, they can now also use these credentials to log in to the mobile app.
Trimble ID logins are different from other forms of SSO logins, such as OAuth.
With multiple login types configured, your login screen will look like this:
- Checklists
Improved filtering of the Checklists page: The Checklist page now defaults to display items that are Not Submitted, helping users focus on the checklists needing attention.
- Field Tickets
Search by Ticket Number and sort by Created By: On the Field Ticket Dashboard, you can now search for field tickets by number. Start typing in the Ticket Number field to sort the grid. You can also view and sort users who created the tickets in the Created By field.
- Purchase Orders
Preview attachments in PO Receiving before submitting receipts: You can now preview attachments in PO Receiving directly from the Add Attachments popup window by selecting View. Attachments that cannot be previewed do not have a View option.
- Timecards

Financial Controls Highlights
The following enhancements and customer suggestions were added in this release.
- Purchase Orders
Preview attachments in PO Receiving before submitting receipts: You can now preview attachments in PO Receiving directly from the Add Attachments popup window by selecting View. Attachments that cannot be previewed do not have a View option.
Vista Field Service Highlights
The following enhancements and customer suggestions were added in this release.
New setting for Overhead Call Types: This release adds the Overhead Call Types setting, which you can use to designate call types for overhead work. SM Work Order scopes with this designation will not require a signature or send an email during the trip completion process. Users can simply select the scope and close it. If a user selects both an overhead and a non-overhead scope, the trip completion process will proceed as usual. You can separate multiple overhead call types with a comma (no spaces). For example: 10,15,20. Add a new row for each applicable SM company.
Setting location:
- Service site added to clock-in / clock-out entries for work order trips: When an employee clocks in or out for a work order trip:
If the work order has a service site location, this location will now be saved to the employee's time entry (if location tracking is enabled on clock-in/clock-out).
Timecard approvers can now view the service site location on the map on the Timecard Approval Time Worked grid.
Service site locations are identified on the map by a purple pin icon.
If a technician is clocked into a job and a service site, they will see both locations on the map (Job Site is a yellow pin).
Update to default form names: With this release, when saving a form, by default, the name of the form now includes the service item number associated with the form, and also includes the description.
New! Integration with Service Hub: With the correct permissions, Field Service administrators in the portal can now access Service Hub, a central site where service customers can create service requests, manage work orders, and pay invoices.
In order to access Service Hub, Vista Web Field Service users must have the following permissions:- Verify the user has a Trimble ID login (required to access Service Hub).
- In the portal User Access page, for the Field Service module, assign the new Service Hub permission.
- Verify the user has service company access in Vista.
Field Service users who have all of these permissions will be able to go to and sign in using their Trimble ID login.
Vista Web Office Tools
The following enhancements and customer suggestions were added in this release.
- Editing capabilities added to more forms in Office Tools: In this release, if you have the correct permissions in Vista Web and in Vista, you can now add new form entries, edit data on existing entries, and delete entries on the following forms in Office Tools:

General changes affect portal administration or multiple modules in the web portal.
- Email improvements: Forward messages and send emails to external addresses: From the Mail Log, you can now forward emails to other recipients and send emails to non-employee addresses.
- Forward emails: In the Mail Log, you can now forward an email that was already sent to another recipient. For details, see Forward an Email.
- Send emails to external addresses: You can now send an email to someone outside of your company who has an external email address. You can add or remove external addresses when sending or forwarding emails. For more details, see Add or Remove External Email Addresses.
