Quarter-End Checklist (U.S.)

Use the following checklist to perform quarter-end processes with ProContractor.

In addition to these tasks, you also will typically perform your regular Month-End Checklist (U.S.).

Employees

  • Payroll Settings screen - Close the quarter to prevent payroll checks from being posted or voided in that quarter. Go to Employees > Setup > General > Payroll Settings.
  • Print Form 941 screen (U.S.) - This report lists your total wages paid, taxes withheld, and federal tax deposits for a specific three-month period. Go to Employees > Quarter and Year End > Print Form 941.
  • Print Form 941 - Schedule B screen (U.S.) - If you need to include Schedule B with your Form 941, print this report. Go to Employees > Quarter and Year End > Print Form 941 - Schedule B.
  • Print Other Reports - Various reports can assist in verifying and reconciling your payroll information for the quarter. Print the following reports:
    • Federal Earnings and Tax Report screen - This report lists federal taxable earnings and taxes withheld by employee. Use the report to review employee taxes and earnings for the quarter. Go to Employees > Reports > Monthly/Quarterly Payroll Reports > Federal Earnings and Tax Report.
    • Federal Unemployment Tax Report screen - This report lists employer accrual and employee withholding for federal unemployment insurance. Use the report to review unemployment accrual and withholding for the quarter. Go to Employees > Reports > Monthly/Quarterly Payroll Reports > Federal Unemployment Tax Report.
    • State/Province Earnings and Tax Report by Quarter Screen - This report lists state or provincial earnings and taxes for a selected quarter. Use the report to review employee taxes and earnings for the quarter. Go to Employees > Reports > Monthly/Quarterly Payroll Reports > State/Province Earnings and Tax Report By Quarter.
    • State Unemployment Tax Report by Quarter screen - This report lists SUTA, SDI, and SUI taxable wages, tax liability, and withholdings by employee for a selected quarter. Use the report to review employee unemployment taxes for the quarter. Go to Employees > Reports > Monthly/Quarterly Payroll Reports > State Unemployment and Tax Report By Quarter.
    • Local Earnings and Tax Report by Quarter screen - This report lists local earnings and taxes for a selected quarter. Use the report to review employee earnings and taxes for the quarter. Go to Employees > Reports > Monthly/Quarterly Payroll Reports > Local Earnings and Tax Report By Quarter.
    • Oregon WBF Quarterly Tax Report screen - This report lists employer accrual and employee withholding for the Oregon Workers Benefit Fund for a selected quarter. If you have employees in Oregon, use this report to review the WBF accrual and earnings for the quarter. Go to Employees > Reports > Monthly/Quarterly Payroll Reports > Oregon WBF Quarterly Tax Report.
  • Greenshades Electronic Filing screen (U.S.), if required. Go to Employees > Quarter and Year End > Electronic Filing.
  • Paid Time Off by Code screen - Use this report to determine if any PTO adjustments need to be made. Go to Employees > Reports > Paid Time Off by Code.
  • Generate PTO Period End Adjustments screen - Use this screen to create a journal entry to adjust the liability paid time off accrued. Go to Financial > Journal > Generate PTO Period End Adjustment.
