Define the allocation with WBS codes

  1. Open a job in the Manage Estimates screen.
  2. From the Change Orders tab, select the change order that contains the financial cost item.
  3. From the detail tab, double-click the financial cost item you want to allocate.
  4. From the Cost Detail tab, click Allocate.
  5. In the Allocate Financial Cost Item popup window, select one of the following options for the Allocation type:
    • None

    • Allocated (Profit) - Allocations made to profit increase the billing amounts in the bid functions.

    • Allocated (Overhead) - Allocations made to overhead increase the budget amounts in the bid functions.

      CAUTION: There are eight additional allocation types (Allocated3 through Allocated10) that are not supported in the accounting functions such as bid reports, print proposals, and project manager worksheet. Allocations made to any of these allocation types do not affect the billing or budget amounts.
  6. For the Method of Allocation, select WBS codes.
    1. In the WBS Field to Allocate field, click to select the WBS code.
    2. Click Allocate WBS. The amount to allocate (or the value of the financial item) is shown in the popup window in the No Allocation Defined field. Each WBS code of the WBS field selected is shown in a row.
    3. To manually allocate, enter either the percentage to allocate or the amount to allocate to each WBS code.
      Note: As you change the allocation in each row, the Estimating module will calculate the other, and deduct the amount allocated from the No Allocation Defined amount. When the No Allocation Defined field is zero, the entire amount has been allocated. If you over allocate, the No Allocation Defined field will show a negative number. You must then reduce the amount allocated to another code to return to zero.
    4. To allocate the remaining amount, select one of the following options to Allocate to:
      • All rows

      • All non-zero rows

      • Selected Rows

      After selecting an option to Allocate to, click one of the following to Allocate balance:

      • By Cost – Allocates the remaining amount to the WBS codes which have non-zero allocated amounts, pro-rated by cost.

      • Equally – Allocates the remaining amount to the WBS codes equally.

      • Select – Allocates the remaining amount to the selected WBS codes equally.

        Note: The By Cost and Equally buttons only refer to dividing the cost by UBS/WBS code. They don't define how the amount is spread to the cost items which are assigned to the code. That is done on the previous window.
    5. You can change or adjust the allocations. Once the numbers are correct, click OK. Note that the No Allocation Defined field must be zero before exiting.
  7. Select one of the following options to Spread Allocation Across Cost Items:
    • Pro-rate by cost – Pro-rate the financial cost item based on cost.

    • In equal amounts – Distribute the allocation in equal amounts.

      Note: The results from selections in steps 5-7 are displayed in the Summary area of the Allocate Financial Cost Item popup window.
  8. Click OK.
  9. Click OK.
