Select Payroll Checks That Need to be Reprinted or Renumbered

When you click Correct Printing Issues on the Print Payroll Checks and Advices screen, the Select Checks That Need to Be Reprinted or Renumbered pop-up window appears. Use this pop-up to correct payroll checks and advices that were not printed correctly. There are several reasons why checks and advices may not be printed correctly, including:

  • The printer jams, causing issues with check numbering.
  • The check supply in the printer runs out before printing has finished.

Each row in the grid is a check or advice that was printed. Depending on how many checks and advices were printed, you may want to filter the grid to display only the problem checks (for example, checks with a check number >1000). See Grids in the ProContractor Help for information on grid functions.

Most of the fields in the grid are display only. All fields and buttons in the grid are explained in detail in the table below.

Use the Reprint and Renumber checkboxes to indicate which checks and advices need to be reprinted or renumbered. You can select only one of these options for a given check. For any checks that need to be renumbered, enter a new check number in the New Check Number field.

Click Reprint Now to reprint selected checks and advices (if any) immediately, or click Save Correctly Printed Checks to set the correctly printed checks and advices as Ready to Post and reprint the others at a later time. Checks that need to be renumbered are immediately renumbered in the system using either the Reprint Now or the Save Correctly Printed Checks option. To dismiss the pop-up and return to the Print Payroll Checks and Advices screen without correcting checks and advices, click Cancel.

CAUTION: If at least one check in a posting group has a status of Ready to Post, you are not able to edit time cards in the posting group. In addition, you are not able to post any checks until all checks in the posting group have a status of Ready to Post.
Tip: To reduce bottlenecks in the posting process, we recommend that you choose the Reprint Now option if you need to reprint any checks. When you choose this option, ProContractor reprints the problem checks immediately so that you can review them and set all checks to Ready to Post at the same time. If checks only need to be renumbered, choose the Save Correctly Printed Checks button.

Note: When the status of payroll checks and advices changes to Ready To Post, ProContractor does the following, based on payroll settings specified:
  • If the option to Create Encrypted Checks is selected in the Payroll Settings, ProContractor creates the encrypted copies at this time. The encrypted copy of a check resembles a pay stub or advice and contains a "Copy" watermark.
  • If the option to Add Checks to Employee Binder is selected in the Payroll Settings screen, ProContractor creates binder items for the encrypted checks and advices.

When prompted, enter the Starting Check Number for the checks to reprint, click OK, and click Yes on the subsequent confirmation.
